Sales and Marketing Coordinator

Administrative and Marketing Coordinator (Bilingual EN/SPAN)You will drive operations and brand growth for high-end construction at The J. Thomas Company. This role involves financial workflows, subcontractor coordination, and brand development.Operations & Administrative Support:Monitor business expenses and collaborate with the bookkeeper to track payments and financial updatesExecute financial tasks including preparing 1099 payroll checks and handling depositsMaintain organized project documentation, binders, and receipts for all active jobsCoordinate with expeditors to secure permits and ensure compliance with NYC regulationsManage subcontractor documentation including contracts, insurance certificates, and payment coordinationSupport HR functions including onboarding, tracking employee time off, and assisting with payrollProject & Bid Support:Assist in creating and maintaining bid templates and proposal documentsSupport project managers with documentation, scheduling, and communicationHelp track project timelines and ensure proper documentation for bids and ongoing jobsMarketing, Branding & Social Media:Manage and maintain the company's social media presence (Instagram, LinkedIn, etc.)Create and schedule content showcasing projects, progress, and company cultureCollaborate with leadership to develop branding strategies and marketing initiativesAssist in designing and ordering company swag, uniforms, and promotional materialsWork with website developers to update project portfolios and company informationTechnology & Communication:Coordinate with IT and website teams to resolve technical issuesServe as a central communication point between field teams, subcontractors, and office staffRequired Qualifications & Experience:Previous experience in an administrative, office management, or operations support roleStrong proficiency in QuickBooks Online and financial trackingAdvanced skills in Microsoft Office Suite (Excel, Word, and Outlook)Experience managing or supporting professional social media or marketing effortsMust be bilingual in English and SpanishPreferred Qualifications & Experience:Experience in the construction or general contracting industryFamiliarity with NYC permitting and subcontractor coordinationBasic design experience using tools like Canva or Adobe for branded materialsProven ability to create professional proposals or construction bidsCompensation & Benefits:Competitive hourly pay with a stable full-time schedulePaid lunch break included in the daily shiftClear opportunities for career growth and expanded responsibilitiesExposure to high-end, architect-driven residential projectsCollaborative team environment focused on craftsmanship and innovationAbout Us:The J.
