Pay Rate: $25.00–$30.00 per hour
Schedule: Monday–Friday, 8:30 AM–5:00 PM

Position Summary

Dunbar Wellness Group is seeking an organized, dependable, and client-focused IBHS Care Coordinator to support the coordination and day-to-day operations of our Intensive Behavioral Health Services program.

The IBHS Care Coordinator serves as an important link between clients and families, clinical staff, administrative staff, and agency leadership. This position is responsible for supporting client access to authorized services, monitoring service delivery, coordinating staffing needs, maintaining accurate client and program records, and assisting with quality assurance activities.

The ideal candidate is highly organized, comfortable managing multiple priorities, and committed to ensuring clients and families receive consistent, timely, and high-quality services.

Key Responsibilities

• Coordinate assigned IBHS cases and prioritize client needs based on program and supervisory direction.

• Monitor the delivery of authorized services and proactively address potential gaps in care.

• Maintain ongoing communication with clients and families regarding services, scheduling, staffing, and program needs.

• Conduct routine quality review calls to assess client satisfaction, service delivery, and emerging concerns.

• Serve as a point of contact and advocate for clients and families while assisting with the resolution of service-related concerns.

• Coordinate the staffing of cases and assist with matching available staff to client service needs.

• Monitor staff schedules, service coverage, productivity, and assigned caseloads.

• Maintain accurate and up-to-date caseload tracking spreadsheets and other program tracking systems.

• Coordinate client intake activities and support the transition from admission through service initiation.

• Maintain thorough records of client contacts, calls, referrals, follow-ups, and other care coordination activities.

• Review incoming client and staff documentation for completeness and accuracy.

• Conduct routine chart reviews and assist with internal quality assurance and compliance audits.

• Maintain accurate client face sheets, electronic records, and internal program files.

• Coordinate and distribute required documentation to newly assigned staff.

• Manage internal packets and monitor timely completion and submission of required documentation.

• Connect clients and families with appropriate community-based programs and resources when needed.

• Participate in provider meetings, departmental meetings, individual supervision, and team meetings.

• Conduct weekly site visits as assigned.

• Support coordination and tracking of seasonal or specialized programming, including camp-related services when applicable.

• Maintain strict confidentiality of all client and organizational information.

• Provide occasional direct support in school or community settings when necessary and within the employee's qualifications and assigned responsibilities.

• Perform additional duties as assigned based on program and operational needs.

Minimum Qualifications

• Master's degree in Psychology, Sociology, Public Health Administration, Human Services, Behavioral Health, Social Work, or a related field.

• Minimum of one (1) year of related experience in behavioral health, care coordination, case management, human services, healthcare, or a related setting.

• Strong organizational and time-management skills with the ability to manage multiple cases and priorities.

• Excellent verbal and written communication skills.

• Strong interpersonal, customer service, problem-solving, and conflict-resolution skills.

• Ability to maintain professionalism and sound judgment in challenging or high-volume situations.

• Ability to work both independently and collaboratively as part of a multidisciplinary team.

• Proficiency with Microsoft Office, including Excel , and the ability to learn electronic health record and case-management systems.

• Ability to maintain accurate and confidential client records.

• Access to reliable transportation for required site visits and community-based responsibilities.

Preferred Qualifications

• Previous experience working within Intensive Behavioral Health Services (IBHS) or another child and adolescent behavioral health program.

• Experience with care coordination, case management, client intake, staff scheduling, or behavioral health quality assurance.

• Familiarity with behavioral health documentation, chart auditing, service authorizations, and regulatory compliance.

• Experience working with children, adolescents, and families in community-based settings.
