The Role
- Lead, coach, and support the care coordination team; oversee recruiting, onboarding, training, performance feedback, and adherence to policies
- Build and manage team schedules; provide hands-on front desk coverage as needed
- Champion an outstanding client experience across reception, phones, appointment flow, and service recovery; escalate concerns appropriately
- Oversee payment processes, including daily reconciliation, cash handling, refunds and credits, and approved payment plans
- Maintain accurate billing activities, statements, collections, and month-end reports
- Coordinate calendars and communications for visiting specialists (non-emergency)
- Serve as backup to the Hospital Manager for facility and maintenance coordination
- Support continuous improvement of front-of-house workflows and client communication
- Schedule: Monday through Thursday with rotating Saturday coverage

Requirements
- High school diploma or equivalent required
- At least 2 years of experience in veterinary or medical client service preferred; supervisory experience strongly preferred
- Proficiency with practice management systems, payment processing, and basic reporting
- Strong communication, organization, and conflict-resolution skills; able to thrive in a fast-paced, team-centered environment
- Availability for rotating Saturdays
- Eligibility to work in the United States
- License to practice in New Jersey (as applicable to role duties); any relevant credential must be in good standing
