Administrative Assistant / Project Coordinator

Rocky Hill, CT

Responsibilities

• Manage service agreements including setup, renewals, changes, and cancellations
• Track contract expirations, generate renewal proposals, and communicate with customers
• Support project setup by ensuring accurate contract details (pricing, scope, billing, schedules)
• Maintain project tracking tools (schedules, RFIs, change orders, WIP reports)
• Coordinate materials, purchasing, and deliveries for projects and field technicians
• Assist with invoicing, payment tracking, and project documentation
• Organize permits, project files, and closeout documents
• Support project teams with administrative tasks and reporting
• Act as a liaison between sales, operations, field teams, and vendors
• Provide backup support to the Service Coordinator as needed

Qualifications

• 3+ years of administrative or project coordination experience in construction, engineering, manufacturing, or similar environment
• Experience supporting project-based work (documentation, scheduling, purchasing, invoicing)
• Strong attention to detail and data entry skills
• Proficiency in Microsoft Office (Excel, Word, Outlook)
• Highly organized with ability to manage multiple tasks and projects
• Strong communication and customer service skills
• Ability to work in a fast-paced, deadline-driven environment

Job Type & Location

This is a Permanent position based out of Rocky Hill, CT.

The pay range for this position is $55000.00 - $65000.00/yr.

Company offers a standard benefits package comprised of Health, Dental, Vision, PTO, etc.

This is a fully onsite position in Rocky Hill,CT.

This position is anticipated to close on May 31, 2026.
