Maintenance Planner

The Maintenance Planner develops complete, executable maintenance work packages and schedules that enable safe and efficient use of labor, materials, contractors, tools, and equipment. This position converts identified work into ready-to-schedule work orders, manages backlog and forecasts, and coordinates daily, weekly, and outage work with Maintenance, Operations, Engineering, Stores, Purchasing, and contractors. Salary Range is $99,722.00 to $149,525.00 USD.

Key Responsibilities

Work Identification and Planning:

  • Review work requests, validate equipment location and scope, and convert approved work into ready to execute work orders.
  • Develop clear job scopes, task sequences, labor and duration estimates, required skills, safety considerations, permits, drawings, procedures, tools, equipment, and quality requirements.
  • Create complete work packages so a qualified craftsperson can perform the work without avoidable delay or clarification.
  • Identify material requirements, verify availability, coordinate purchasing, and provide kitting, staging, and delivery instructions.
  • Develop scopes of work and supporting information for contractor bidding and execution.

Scheduling and Backlog Management:

  • Prioritize work with Maintenance and Operations based on safety, equipment criticality, production needs, risk, resource availability, and business impact.
  • Maintain a rolling three-week maintenance forecast and a healthy ready-to-schedule backlog.
  • Lead or participate in weekly planning and scheduling meetings and publish schedules that are clearly defined, properly resourced, and ready for execution.
  • Identify work that can be completed during equipment access opportunities, field days, unplanned downtime, and outages.

Outage and Shutdown Planning:

  • Plan outage work lists, manpower requirements, critical-path schedules, and detailed Gantt schedules using MS Project or similar software.
  • Develop scope, sequencing, contractor support, materials, permits, and equipment access with Maintenance, Operations, Engineering, and other stakeholders.
  • Support execution, schedule updates, progress reporting, and post-outage review.

CMMS and Asset Information:

  • Maintain accurate work-order coding, status, equipment history, bills of materials, parts lists, job plans, and preventive maintenance work orders in the CMMS.
  • Capture completion notes, actual labor and material use, scope changes, follow-up work, and lessons learned to improve future planning.
  • Track and report planning and scheduling metrics, backlog status, and work readiness.

Cost and Resource Stewardship:

  • Develop labor, material, contractor, and equipment cost estimates and obtain required approvals before commitments are made.
  • Coordinate with Purchasing and Stores to secure appropriate materials and services, return unused items, and support repair-versus-replace decisions.
Qualifications

Required:

  • Demonstrated maintenance planning, scheduling, mechanical maintenance, engineering, or closely related heavy industrial experience.
  • Ability to develop complete work packages, estimate labor and materials, interpret drawings and technical documentation, and coordinate multiple trades.
  • Strong planning, prioritization, negotiation, organization, problem-solving, written communication, and verbal communication skills.
  • Proficiency with Microsoft Office and experience using a computerized maintenance management system.
  • Ability to balance planned work, break-in work, outages, and changing operational priorities.

Preferred:

  • Degree in industrial technology, or a related field; a vocational trade credential; completion of formal maintenance planner training; or equivalent experience.
  • Experience with SAP or another CMMS and with MS Project or comparable scheduling software.
  • Knowledge of preventive and predictive maintenance, precision maintenance, equipment bills of materials, and contractor management.
  • Pulp and paper or other heavy industrial manufacturing experience.

Work Environment and Schedule:

  • Work is performed in a heavy industrial pulp and paper manufacturing environment with exposure to noise, heat, moving equipment, heights, and other operational hazards.
  • The position is primarily day shift and may require weekend, night, or off-shift support during outages, equipment breakdowns, emergencies, or special projects.
