Office Support Specialist

We are seeking a polished and detail-oriented Office Support Specialist to service our front desk, and support projects. In this role, you will be the face and voice of the company while also serving as a critical administrative support partner across multiple departments. This opportunity is ideal for someone who enjoys multitasking, communicating with people at all levels, and ensuring day‑to‑day operations run smoothly and efficiently. What You’ll Do Answer and manage incoming phone calls, directing inquiries appropriately and providing accurate company information Greet and host visitors while creating a welcoming and professional office environment Coordinate incoming/outgoing mail, packages, and express delivery services Maintain clean, organized reception, meeting, and mail room areas Log, track, and organize incoming requests using internal systems Coordinate multi‑step administrative requests between internal teams and follow up to ensure completion Provide light technical editing support, including formatting, grammar review, and acronym consistency in documents and correspondence Transfer and organize data accurately across systems, templates, and files while maintaining version control Set up and maintain electronic filing systems according to company standards Assist with document preparation, attachments, naming conventions, and administrative reporting Support internal teams with checklists, logs, and administrative coordination Handle time‑sensitive and regulated documentation with exceptional attention to detail Perform additional administrative and office support duties as needed Qualifications High school diploma or equivalent required 1–3+ years of front desk, receptionist, or office support experience Excellent verbal and written communication skills Strong customer service and hospitality mindset Highly organized with the ability to multitask and prioritize effectively Strong attention to detail and ability to work independently Proficiency in Microsoft Office and general office technology Preferred Qualifications Experience with ADA compliance Familiarity with document management platforms such as SharePoint or OneDrive Experience coordinating tasks across multiple departments or stakeholders Exposure to technical editing or administrative support within engineering, environmental, construction, or technical industries is a plus Physical Requirements Ability to sit for extended periods of time Ability to work on a computer for extended durations with or without corrective lenses Why Join Us?
