This role serves as the central point of contact for customers, technicians, vendors, and internal staff while managing administrative functions including customer service, service ticket coordination, accounts receivable (AR), and accounts payable (AP).

Position Summary

Key Responsibilities
Customer Service & Client Support
- Serve as the first point of contact for customers via phone, email, and in-person inquiries.
- Provide professional and timely responses to customer questions, concerns, and service requests.
- Maintain positive customer relationships through exceptional service and communication.
- Assist customers with scheduling appointments, service calls, and project updates.
- Create, track, and update service tickets within the company's service management software.
- Coordinate service requests between customers and field technicians.
- Monitor open tickets to ensure timely completion and customer satisfaction.
- Follow up with customers regarding service completion and outstanding issues.
- Maintain accurate records of service activities and customer communications.
- Generate and distribute customer invoices.
- Monitor outstanding receivables and follow up on overdue accounts.
- Process customer payments and maintain accurate payment records.
- Reconcile customer accounts and resolve billing discrepancies.
- Assist management with collections activities and reporting.
- Receive, review, and process vendor invoices.
- Verify invoice accuracy and obtain appropriate approvals.
- Prepare payments to vendors and maintain payment schedules.
- Reconcile vendor statements and resolve discrepancies.
- Maintain organized records of all payable transactions.
- Maintain office filing systems, records, and documentation.
- Assist with purchasing office supplies and equipment.
- Prepare reports, spreadsheets, and correspondence as needed.
- Support management with special projects and administrative tasks.
- Coordinate meetings, appointments, and company events.
- Ensure confidential handling of financial, employee, and customer information.
Required
- High school diploma or GED required; Associate's degree preferred.
- 2+ years of administrative, office management, bookkeeping, or customer service experience.
- Experience with accounts receivable and accounts payable functions.
- Strong proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and deadlines effectively.
- Experience working in a technology, networking, IT services, telecommunications, or security systems environment.
- Familiarity with service ticketing or CRM software.
- Knowledge of basic accounting principles and bookkeeping practices.
- Experience with QuickBooks or similar accounting software.
