Our work environment and business values are reflective of our mission: Kids come first, no exceptions We strive for improvement every single day We are inclusive for all We find the silver lining, always We're lively and love to have a good time We're thankful for the chance to serve young people and their families POSITION OVERVIEW The Site Program Coordinator is a year-round, entry-level management position responsible for overseeing daily operations, program implementation, and quality assurance at an assigned Club site serving youth ages 5-18. This position supports the organization's three priority outcome areas: Academic Success, Healthy Lifestyles, and Good Character and Citizenship. The Site Program Coordinator supervises program staff and volunteers, ensures compliance with organizational standards and safety protocols, and serves as the primary on-site liaison with school administration and parents. Additional responsibilities include managing member databases (Daxco/TN ELAP), processing membership applications and fees, tracking program outcomes and attendance, and providing backup coverage for Youth Development Coordinators as needed. ESSENTIAL ROLE RESPONSIBILITIES Youth Development & Program Quality Oversee daily implementation of youth development programs and activities according to established schedules, standards, and organizational goals Monitor and support Youth Development Coordinators in delivering age-appropriate programming across multiple activity areas Ensure all members receive appropriate instruction, constructive feedback, and encouragement to participate in diverse program offerings Conduct ongoing program evaluation and track outcome metrics to assess effectiveness and cultural responsiveness Collaborate with Program Outcomes Director to coordinate timely delivery of program materials to site Input weekly attendance and tutoring hours into Daxco and/or SWORPS by close of business each Friday Staff Supervision & Site Management Maintain appropriate staff-to-child ratios (1:20) throughout operational hours, adjusting staffing levels as attendance fluctuates Provide direct supervision, coaching, and performance feedback to program staff and volunteers Ensure all staff members adhere to organizational policies, procedures, and safety protocols Document all site incidents according to organizational requirements and report to Area Director Identify and facilitate training and professional development opportunities for site staff Assign and monitor work tasks for program volunteers and staff Member Services & Retention Process new membership applications and maintain accurate records in member management database (Daxco) Monitor member attendance patterns and contact parents of absent members to support retention efforts Collect membership fees, maintain financial records, and submit weekly reports to registrar by designated collection days Ensure snack distribution meets program requirements; maintain accurate intake/output records and coordinate with school staff and Area Director to address shortages Facility & School Partnership Coordination Serve as primary liaison with school administration, communicating daily regarding room availability, scheduling, and facility needs Adjust programming in response to school functions and facility constraints Communicate school administration concerns and facility issues to Area Director in a timely manner Maintain professional relationships with school staff, parents, and community partners Administrative Support Provide regular updates to Area Director on daily operations, member interactions, parent communications, and administrative matters Serve as acting site supervisor in Area Director's absence or as assigned to other sites within the area Manage program expenditures within approved budget parameters Perform other duties as assigned by Area Director MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES) Bachelor's Degree Preferred A minimum of 1-3 years' work experience in a Boys & Girls Club or similar organization or equivalent experience, specifically planning and supervising developmental needs-based activities. Excellent written and verbal communication Demonstrated ability to effectively lead and engage youth in various group settings, including large groups (20+ participants), small groups, and team-based activities while managing group dynamics and fostering positive interactions Strong organizational and project management abilities with proven experience coordinating multiple programs, supervising staff, delegating tasks, and managing competing priorities simultaneously Must have a reliable vehicle for daily/weekly travel between Club sites; travel compensation included in salary. Must be able to upgrade license to CDL Class B with Passenger Endorsement, and comfortable operating a full-sized school bus, within the first 90 days of employment. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), email systems, and web-based applications CPR/AED/First Aid Certifications (required within first 90 days of employment) Must successfully pass background check and drug screening in accordance with organizational and state requirements PHYSICAL DEMANDS AND WORK ENVIRONMENT The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. The employee will occasionally sit, lift weight, carry, push, pull, reach above their head, and use on foot/leg. Crawling, climbing, and using both feet/legs are infrequent activities for this role. This position requires normal or corrected eyesight, close eye work, color recognition, hearing normal tones and soft tones, ability to distinguish temperatures by touch. Distinguishing taste and temperatures by proximity is not necessary. Must be able to lift 21 - 75 pounds. There is no exposure to biological, mechanical, electrical, and/or chemical hazards.
