Position Purpose
We are seeking a detail-oriented and proactive Customer Service Representative to join our team. This position is responsible for managing customer orders and inquiries, maintaining accurate documentation, coordinating with internal teams, and providing exceptional customer service.
Key Responsibilities

• Monitor and prioritize the customer order email inbox.
• Review and accurately enter customer purchase orders.
• Verify quantities, pricing, delivery information, and order requirements.
• Correlate purchase orders with company quotes.
• Attach engineering drawings, material specifications, and other required documentation.
• Enter orders and shipments into the system and maintain accurate electronic records.
• Review, verify, and process customer returns.
• Ensure required return documentation is submitted to Accounting.
• Review customer portals and resolve discrepancies with shipment information.
• Review customer forecasts and analyze historical data to help plan inventory needs.
• Serve as a primary point of contact for customers.
• Respond promptly and professionally to customer questions, concerns, and issues.
• Communicate with production teams to gather information and provide customer updates.
• Build and maintain strong customer relationships.
• Participate in customer calls using Microsoft Teams.

Qualifications

• High school diploma or GED required.
• Previous customer service experience preferred.
• Excellent written and verbal communication skills.
• Strong attention to detail and accuracy.
• Proficiency with Microsoft Excel and Microsoft Teams.
• Experience with email correspondence and CRM systems.
• Strong organizational and time-management skills.
• Ability to prioritize multiple tasks in a fast-paced environment.
• Collaborative and team-oriented approach.
• Strong problem-solving skills and professionalism when handling challenging situations.
• Knowledge of technical/engineering terminology and concepts is preferred, but not required.

Additional Requirements

• Regular interaction with customers through email and occasional phone calls.
• Occasional overtime or weekend work may be required during peak periods.
• Position is based in an office environment.
