We are seeking an Administrative Assistant for the Production Support Team within the IT Department. The Production Support Team is responsible for purchasing and billing computer-related equipment, services and software used in CED’s 700+ locations; as well as providing administrative and end-user support for various systems. The assistant will be responsible for the areas of accounts payable processing, purchasing and inventorying computer-related equipment and computer systems administration.

Successful candidates will have demonstrable experience in processing accounts payable invoices, spreadsheet analysis, and customer service. Candidates must be highly detail oriented and have an aptitude for quickly learning computer applications.

Reports to: Production Support Supervisor

Minimum Qualifications:

· Associate degree in Accounting or Business Administration, or related studies, or equivalent experience of 2-5 years in similar position.

· Work experience should include accounts payable, spreadsheet analysis, customer service in an office environment, and general office administrative duties.

· Ability to quickly learn computer software applications and procedures to administer them.

· Ability to answer telephones and provide courteous, prompt, and efficient customer service .

· Excellent verbal and written communication skills and listening skills.

· Excellent organizational and administrative skills.

· Proficient in Microsoft Office applications (especially Excel and Access) and Adobe Acrobat.

· Proficient in general business math, including basic algebra and related logic.

· Ability to type and perform data entry with speed and accuracy.

· Highly detail oriented.

· Ability to multi-task and meet deadlines.

· Ability to lift up to 45 lbs.

Preferred Qualifications:

· At least two years full-time employment working in a related area.

· Background in retail or wholesale industries.

· Proficient in Microsoft Access.

Working Conditions:

· This job operates in a professional office environment. The position is largely a sedentary role. However, some duties require the ability to lift computer equipment, push a cart, and bend or stand as necessary.

Essential Job Functions:

· Assist with IT billing tasks that include processing of AP invoices, processing of expense vendor invoices, preparing billing allocations, and e-filing AP documents and invoices.

· Perform purchasing tasks related to IT equipment, including processing purchase requests; maintaining CED’s inventory control system; and maintaining the good order of our stock room.

· Performs systems administrative tasks that include performing daily and weekly tasks for CED’s Learning Management system, Intranet system, and Product Data Management system.

· Performs other tasks assigned.
