POSITION SUMMARY

Under limited supervision, answers all phone calls and provides general company information. Greets visitors and alerts appropriate party of visitor arrival. Maintains a log of visitors.

MAIN RESPONSIBILITIES

1. Answer all incoming calls from a multi-line switchboard in a professional, concise tone. Transfer / route all calls, take messages as needed.

2. Assist all customers (on the phone and in-person) with basic office information.

3. Serve as the first point of contact for visitors, greeting them in a professional manner and contacting the appropriate employee to assist them.

4. Maintain a current log of all visitors.

5. Schedule conference rooms and maintain an updated calendar on availability of rooms for visitors, meetings, etc.

6. Order meals and/or beverage service for meetings as needed.

7. Coordinate as central point all incoming and outgoing mail including FedEx's.

8. Provide administrative support to others as needed.

9. Perform other duties as assigned.

QUALIFICATIONS

EDUCATION & EXPERIENCE

High School Diploma, GED or equivalent, with 1 year of experience as a receptionist.

* Any equivalent combination of related education and/or experience may be considered for the above.

KNOWLEDGE, SKILLS, & ABILITIES

Work requires experience operating a multi-line telephone switchboard.

Bilingual English & Spanish required.

Work requires ability to maintain calendars and visitor logs.

Work requires ability to answer telephones in a professional, clear manner.

Work requires ability to be multi-task oriented with excellent organizational skills.

Work requires ability to present oneself in a professional manner at all times.

Work requires basic computer skills.
