The Clinical Research Site Manager oversees day-to-day operations of a clinical research site to optimize performance, ensure regulatory compliance, and deliver a high-quality experience for both study sponsors and participants. This role drives the site to achieve organizational goals by managing staff, resources, and study activities, while maintaining strong relationships with investigators and sponsors and representing the site in a professional, ethical, and positive manner.

Responsibilities

• Review and discuss awarded studies with the Principal Investigator to support informed decisions on which studies to conduct.
• Collaborate with leadership to assess and plan staffing needs required for successful study execution.
• Work with leadership to ensure the site has appropriate space, staffing, and time allocated to optimize study conduct, particularly participant recruitment and retention.
• Partner closely with leadership on staff management and workforce planning for clinic operations.
• Demonstrate strong knowledge of clinical research processes, expectations, and industry standards.
• Lead site staff in their professional growth and guide them toward consistently excellent performance.
• Recruit and hire high-quality candidates for site positions.
• Ensure all site staff are qualified, trained, and competent for their assigned roles and duties.
• Work with leadership to plan and prepare for upcoming studies and new awards.
• Ensure site staff and investigators receive timely communication about awarded studies and study requirements.
• Monitor staff performance and hold team members accountable to the expectations of their roles.
• Ensure staff comply with study protocols, FDA regulations, and ICH guidelines at all times.
• Ensure staff adhere to standard operating procedures (SOPs) and other company policies and processes.
• Monitor overall site quality and performance and develop practical solutions to optimize operations.
• Monitor ongoing study needs and assist staff with study conduct and management as needed.
• Manage staff schedules to ensure adequate coverage and optimal site performance.
• Provide regular performance feedback and coaching to staff members.
• Work with leadership to address disciplinary matters and HR-related issues, such as misconduct, policy violations, and office conflicts.
• Ensure staff compliance with the company Employee Handbook and internal standards of conduct.
• Build and maintain strong working relationships with investigators in collaboration with leadership.
• Ensure appropriate investigator coverage to support optimal conduct of participant visits.
• Collaborate with investigators to promote study success and high-quality clinical outcomes.
• Manage the sites quality control processes to ensure consistent adherence to standards.
• Monitor adherence to SOPs and implement immediate corrective actions when noncompliance is identified.
• Monitor staff performance for adherence to Good Clinical Practice (GCP) and FDA regulations and guidance, taking prompt corrective action when necessary.
• Serve as an active and supportive team member within the broader research network.
• Communicate effectively and professionally with team members in a timely and respectful manner.
• Represent the organization in a professional, ethical, and positive manner in all internal and external interactions.
• Promote harmony, collaboration, and professionalism within the workplace.
• Acquire and maintain required training on SOPs, processes, and policies annually or as changes are implemented.
• Maintain current Good Clinical Practice (GCP) training every two years.
• Maintain current IATA Shipment of Hazardous Goods training, if applicable, every three years or as directed.
• Participate in study-specific training as required by sponsors or protocols.
• Maintain all relevant medical licenses, certifications, and professional credentials as required for the role.
• Ensure the site is fully prepared for study conduct, including facilities, equipment, and documentation, particularly when also coordinating studies.
• Ensure appropriate staff attend investigator meetings and site initiation visits for new studies.
• Ensure all staff participating in a trial receive appropriate protocol-specific training.
• Oversee and ensure timely completion and review of source document creation.
• Collaborate with regulatory staff to manage essential documents and regulatory binders.
• Complete site-level regulatory duties, including continuing reviews and study closeouts, as required.
• Disseminate study-related information to internal personnel and potential participants as appropriate.
• Ensure all staff are trained according to the tasks delegated to them for each study.
• Confirm that the site has obtained all required documents, approvals, and equipment necessary to conduct each study.
• Ensure the site receives and maintains sponsor and Institutional Review Board (IRB) approvals prior to study start and throughout the study lifecycle.
• Communicate with sponsors in a timely, professional, and proactive manner.
• Communicate effectively with vendors, recruiting teams, and other resources involved in study execution.
• Drive recruitment efforts to ensure enrollment goals for all studies are met or exceeded.
• Ensure all study-related activities are conducted in accordance with the protocol, FDA regulations, ICH guidelines, and sponsor expectations.
• Ensure information entered into case report forms is complete, accurate, and timely, and maintain strong relationships and communication with sponsors and monitors.
• Oversee timely and accurate resolution of data queries.
• Ensure study documents are complete, current, and filed correctly in accordance with regulatory and sponsor requirements.
• Ensure laboratory procedures related to the studies are completed accurately and in compliance with protocols.
• Manage study supplies to ensure availability, proper storage, and accountability.
• Ensure study closeout activities are completed efficiently and in full compliance with requirements.
• Perform other duties as assigned to support site operations and organizational objectives.

• Working knowledge of FDA regulations, ICH guidelines, and Good Clinical Practice (GCP).
• Ability to manage multiple studies and priorities simultaneously in a fast-paced environment.
• Strong organizational and time-management skills with attention to detail.
• Ability to build and maintain professional relationships with investigators, sponsors, and internal teams.
• Capability to manage staff schedules, performance, and development.
• Comfort with regulatory processes and documentation related to clinical research.
• Ability to work both independently and collaboratively as part of a multidisciplinary team.

Additional Skills & Qualifications

• Minimum of 3+ years of experience in the clinical research industry.
• Supervisory or management experience, or clearly demonstrated leadership capabilities.
• Experience with regulatory processes, clinical procedures, sponsor interaction, and human resources is preferred.
• College degree or specialized degree in a related field is preferred.
• Experience as a Clinical Research Coordinator (CRC) or in a similar clinical research role is beneficial.
• Training and certification in Good Clinical Practice (GCP) with willingness to maintain ongoing recertification.
• Training in IATA Shipment of Hazardous Goods, if applicable, with willingness to maintain recertification.
• Current medical licenses, certifications, or other professional credentials, as applicable to the role, with a commitment to maintain them.
• Ability to work remotely when needed and remain available during business hours.
• Ability to lift up to 15 pounds on occasion.
• Ability to commute between multiple site locations as required.
• Willingness and ability to travel up to approximately 20% of the time.

Work Environment

This role is primarily based on-site at clinical research facilities in the San Antonio, TX area, with an expectation of working five days per week on-site. The Site Manager works in a professional clinical research environment that may include exam rooms, offices, laboratories, and administrative areas. The position involves close collaboration with investigators, coordinators, regulatory staff, and other clinical research professionals, using standard clinical and office technologies, electronic systems for data capture, and regulatory documentation tools. The role may require occasional remote work and availability during standard business hours, as well as commuting between multiple locations and limited travel of less than 20%. Job Type & Location

This is a Permanent position based out of San Antonio, TX.

Pay and Benefits

The pay range for this position is $80000.00 - $120000.00/yr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
