Event Services Specialist

Job Summary The Event Services Specialist serves as a liaison to City departments, businesses, community agencies, and festival organizers in the planning and coordination of special events. The role guides event organizers through the application process to ensure events on public property are conducted safely, successfully, and in compliance with City requirements. Essential Duties & Responsibilities Process special events applications. Communicate with City departments, community organizations, businesses, and event organizers regarding special events. Draft operational agreements, reports, and correspondence. Create and maintain accurate records. Plan, organize, and implement activities, programs, and special events. Prepare and present reports and recommendations. Process payments and deposits for special event application fees and applications. Respond to inquiries, concerns, and complaints. Maintain regular attendance, a necessary and essential function. Perform other duties as assigned. Supervisory Responsibilities None. The position may provide guidance and training to others. Assist in collecting data to support budget recommendations and monitor and maintain budget and expenditures at the work unit or program level. Education & Experience Bachelor’s Degree in Hospitality Management, Events Management, Business Administration, or a related field. 1 to 3 years’ experience in event planning or a related field. Licenses & Certifications Valid driver’s license. Certified Tourism Ambassador within 6 months of hire. Knowledge, Skills & Abilities Knowledge of: special event planning and implementation; common business software applications such as Microsoft Office; public relations. Skills in: effective verbal and written communication; active listening and questioning; time management; customer service; rapport building. Abilities to: interpret and apply policies, procedures, rules, and regulations; organize and coordinate projects/events; recognize, analyze, and solve problems; compile, interpret, and communicate data concisely; use computer, software, phone, and office equipment; work a flexible schedule, including evenings and weekends. Work Environment Office or similar indoor environment – frequently or often. Street environment (near moving traffic) – sometimes. Vehicle – frequently or often. Exposure to hostile or irate individuals – sometimes. Exposure to extreme cold (below 32 degrees) and loud noises (85+ decibels) – sometimes. Physical Demands Occasional exposure to unpleasant environmental conditions or hazards; generally sedentary. Requirements to exert up to 35 pounds of force occasionally and up to 20 pounds frequently. Hours & Salary Hours: Monday to Friday, 8 a.m. to 5 p.m., with some nights and weekends.
