Education Coordinator

The Gen2 Education Coordinator plays a key role in advancing Adopt-A-Family's commitment to ensuring that education is valued, prioritized, and fully supported across all agency programs. This position requires professional experience in education and social services, a passion for motivating students toward academic and personal success, and the ability to build and strengthen the Gen2 Education Partnership in alignment with program goals and measurable outcomes. The Education Coordinator will work with all housing families and children ages 0-18 to ensure proper academic support is in place.

As a lead member of the education team, the Education Coordinator supports students and families through direct services, advocacy, and relationship-building with schools and community partners. The Education Coordinator contributes to ongoing program development, ensures consistent delivery of high-quality educational support, and helps maintain a culture where academic achievement and lifelong learning are actively encouraged and supported.

Essential Functions:

  • Working with the Data and Evaluation team, create and maintain a comprehensive database of all students enrolled in agency programs, including academic data and education-related outcomes.
  • Collaborate with the leadership team to expand, and continuously improve the Gen2 Education Partnership Program.
  • Work with the Finance Department to track and manage the education program budget (testing, tutoring, specialized tools, preschool tuition subsidies, incentives, events, etc.).
  • Provide data to program staff for reporting needs.
  • Collaborate with external data management teams to review historical data, PBCSD data, and housing data.
  • Complete data entry in ClientTrack or similar systems, including intake information, meeting notes, and services provided.
  • Build and maintain supportive relationships with children and families to foster a positive learning environment.
  • Monitor academic performance and provide case management support as needed following the Programs Level of Care requirements:
  • Level I: Meet at minimum of every two weeks; provide support to youth and parents in immediate academic needs
  • Level II: provide monthly follow-ups.
  • Level III: provide ongoing communication and coordination with case managers.
  • Facilitate initial educational intake, assessment, and placement into appropriate levels of care, followed by regular case reviews with housing staff, Project Grow, and educational programs, including Youth Success.
  • Provide tutoring and homework assistance; coordinate volunteer tutors and referrals for additional tutoring or financial support.
  • Serve as a mentor to students and a model for parents, offering guidance and encouragement.
  • Create and maintain an incentive program and plan education-related community events.
  • Create a welcoming, safe, and comfortable space for students of all ages and parents.
  • Work closely with case managers to assess educational needs and coordinate referrals to community partners.
  • Meet regularly with case managers to review student progress and needs; participate in case management meetings as needed.
  • Coordinate monthly inter-department meetings
  • Work closely with Youth Success Program Manager and Project Grow staff to ensure alignment of services.
  • Support the Youth Success Program (YSP) Program Manager and attend off campus activities such as all summer fieldtrips with YSP and be available for evening groups as needed
  • Build and maintain relationships with preschools, daycare providers, and Palm Beach schools that current students are attending to support smooth student enrollment and transitions.
  • Work collaboratively with Project Grow and Youth Success teams to replicate intensive student services.
  • Maintain strong working relationships with McKinney-Vento staff and other community partners.
  • Attend community meetings as needed.
  • Represent Adopt-A-Family at community meetings and events to build positive rapport.
  • Develop and maintain partnerships with educational facilities where students are currently enrolled.
  • Facilitate psychoneurological testing through established channels.
  • Advocate for students requiring Individual Education Plans (IEPs) or 504 Plans.
  • Serve as an advocate during school meetings.
  • Stay informed about changes in standardized testing and provide appropriate support.
  • Assist families with applications for public and private schools, choice programs, Step Up scholarships, FAFSA, colleges, and other scholarship opportunities.
  • Help arrange transportation for education-related appointments.
  • Connect with community partner to provide parents and students with on-campus workshops and education resources
  • Facilitate parent and student workshops to support emotional, social and educational needs
  • Support and participate in children-focused special events (Back to School, Movie Night, Trunk or Treat, etc.).
  • Facilitate presentations on educational topics for children and parents.
  • Collect report cards and maintain educational records.
  • Perform all other duties as assigned.
  • Develop a deep understanding of the agency's housing programs, including policies, procedures, and ancillary services.
  • Build knowledge of the operations, educational philosophy, and services provided by existing youth educational programs.
  • Continuously learn about Step Up for Students scholarships, FAFSA, SAT/ACT/CLT preparation, college and trade school applications, military pathways, and job-readiness resources for high school graduates.
  • Maintain familiarity with available educational resources and referral options.
  • Attend relevant conferences and trainings, including the National Association for the Education of Homeless Children and Youth (NAEHCY) Conference as requested.
  • Demonstrate understanding and commitment to Adopt-A-Family's mission
  • Participate actively in all agency staff meetings, team meetings, and collaborative projects to support organizational goals and build professional skills
  • Understand and follow clearly defined roles, responsibilities, and performance expectations to contribute effectively to departmental success
  • Take initiative in learning new tasks and responsibilities that support team operations and build confidence in independent work
  • Seek out opportunities for coaching, mentorship, and constructive feedback to support personal growth and career development

Requirements:

Qualifications:

  • Bachelor's degree in education (Early Childhood, Elementary, Secondary, Special Education), Social Work or a closely related field.
  • Minimum of three (3) years of professional experience in education, preferably within a school district, charter school, or related educational institution and/or experience supporting the development of IEPs and coordinating ESE services for students with special needs, including gifted learners and students with Specific Learning Disabilities (SLD).
  • Intermediate to advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and SharePoint).
  • Ability to establish and maintain effective working relationships.
  • Ability to use a high degree of tact, diplomacy, and discretion when handling sensitive or confidential information.
  • Demonstrated ability to build rapport and work effectively with at-risk families and students of all ages.
  • Excellent verbal and written communication skills, with the ability to engage individuals from diverse socio-economic backgrounds.
  • Demonstrated commitment to social impact and alignment with the agency's mission.
  • Ability to adapt to changing organizational needs and priorities
  • Ability to maintain accuracy and strong attention to detail.
  • Ability to manage multiple assignments, prioritize tasks, and meet deadlines.
  • Ability to adapt to changing priorities and organizational needs.
  • Ability to work a flexible schedule, including occasional evenings, early mornings, and weekends.
