Aircraft Maintenance Planner

Full-time

FlyUSA, Inc.

At FlyUSA, we are redefining the private aviation experience by providing exceptional service to our clients from start to finish. As leaders in the industry, we are committed to delivering unparalleled travel experiences that exceed expectations. We’re not just about flying passengers from point A to B; we’re about creating memorable journeys and exceptional moments for every client, every time.

Position Summary
FlyUSA is seeking a highly organized and detail-oriented Maintenance Planner to join our FAA Part 145 Repair Station. This position is responsible for planning and coordinating scheduled and unscheduled maintenance events to ensure work is completed safely, efficiently, on time, and in compliance with FAA regulations. The Maintenance Planner serves as the central point of coordination between maintenance control, maintenance leadership, technicians, parts, vendors, and customers.

Beyond traditional planning duties, this role is the designated owner and administrator of our Corridor maintenance management system (Corridor Main and Corridor Go). The Maintenance Planner is responsible for system configuration governance, data integrity, work order staging, and building and maintaining the canned work order, squawk, and resolution libraries that drive shop efficiency. Hands-on Corridor experience is required. This role develops maintenance work packages, forecasts labor and material requirements weeks and months in advance, stages work orders before aircraft arrival, performs pre-close quality reviews, and helps minimize aircraft downtime while maintaining exceptional customer service.

Responsibilities
Corridor System Administration & Data Management
  • Serve as the primary system administrator and subject matter expert for Corridor (Main and Go), including user setup, department structure, permissions, and configuration change control.
  • Own data quality within Corridor: part master accuracy (rotable flags, bin locations, costs), customer and department setup, labor rates, and work order data completeness.
  • Build, maintain, and continuously expand libraries of canned work orders, canned squawks, canned resolutions, and logbook text by fleet/make-model, leveraging CAMP Connect task imports.
  • Manage the CAMP Connect integration, including work package pulls, child task/squawk generation, batch sign-off configuration, and return-to-service (RTS) data pushback to CAMP.
  • Ensure work orders are built completely at creation (customer blocks, PO references, sales and review blocks, estimates, in/out dates) so downstream dashboards, Corridor Go views, and maintenance control visibility populate correctly.
  • Administer and monitor standing reports (material shortage, work order analysis, cost/profit, labor detail/analysis, bin location, three-way match status, third-party/consigned/rental parts) and drive their daily use across departments.
  • Enforce configuration governance: no system changes outside the approved admin group; document all configuration changes with rationale and approval.
  • Serve as the primary point of contact with Corridor support: raise and track support tickets rather than allowing manual workarounds, coordinate quarterly system audits with Corridor, and schedule/coordinate ongoing Corridor training (boot camps, on-site sessions, Go training for technicians).
  • Support the closure lifecycle of work orders: monitor open work orders, ensure closed work orders are posted in the accounting module, and confirm three-way match completion as part of the close process.
Maintenance Planning & Scheduling
  • Plan and coordinate scheduled inspections, repairs, modifications, and maintenance events across a mixed fleet under Part 135 and Part 145 operations.
  • Own maintenance forecasting in Corridor and CAMP: build and maintain a rolling 60–90+ day forecast by tail so inspections, labor, tooling, and parts are planned well in advance rather than accepted last minute.
  • Develop detailed maintenance work packages using OEM maintenance manuals, CAMP, CESCOM, or other maintenance tracking systems, with tasks pulled electronically into Corridor rather than manually transcribed.
  • Review aircraft maintenance status to identify upcoming inspections, life-limited components,
  • Airworthiness Directives (ADs), and Service Bulletins (SBs).
  • Build realistic maintenance schedules based on labor availability, technician utilization targets, aircraft downtime, tooling availability, and customer requirements, including appropriate buffer for unplanned findings.
  • Coordinate maintenance priorities daily with the General Manager, Chief Inspector, Shop Supervisors, Productivity Manager, and Maintenance Control.
  • Perform intake research on short-notice work requests (tooling, parts availability, technical data, downtime estimate) before acceptance so commitments are made on facts, not assumptions.
Work Package Management
  • Stage complete work order quotes and work orders in Corridor prior to aircraft arrival, including squawks with canned resolutions attached where available.
  • Ensure all required manuals, technical data, engineering documents, task cards, and regulatory references are available and attached/accessible in Corridor Go for technicians.
  • Coordinate required inspections, RII items, outside vendor services, NDT, paint, avionics, and specialized maintenance, ensuring subcontract POs are created and tracked to support three-way match.
  • Monitor maintenance progress in real time through Corridor Go dashboards (assignments, estimated vs. actual hours, parts status, projected completion) and adjust schedules as required.
  • Conduct a pre-close review of every work order (labor, parts, subs, sign-offs, resolutions, logbook text) before release to accounting.
  • Support the debrief process on any work order that exceeds its quoted timeline or budget: document what was planned, what happened, why, and the corrective process change.
Parts & Materials Coordination
  • Coordinate with the Parts Department to ensure required materials are staged and kitted before maintenance begins, targeting bins built 2–3 days ahead of aircraft arrival.
  • Forecast parts requirements from the maintenance forecast and identify long-lead items, min/max stocking candidates, and fleet-common consumables.
  • Monitor the material shortage report daily and communicate expected part arrival dates to leads and maintenance control.
  • Support proper handling of rotables, cores, customer property, consignment stock, and third-party/rental parts within Corridor.
  • Work with vendors to minimize aircraft downtime, including expedite coordination and alternative sourcing.
  • Verify material certifications and documentation meet FAA requirements.
Customer & Internal Communication
  • Serve as a liaison between maintenance control, customers, and maintenance personnel regarding maintenance schedules and project status.
  • Provide proactive schedule updates through Corridor dashboards and direct communication; communicate changes and slips to internal stakeholders immediately, with the reason and recovery plan.
  • Coordinate aircraft arrivals and departures with Operations, Maintenance Control, and customers.
  • Assist with maintenance estimates and planning support for customer quotes, including downtime estimates with appropriate contingency.
Compliance & Documentation
  • Ensure maintenance planning complies with FAA Part 145 and Part 135 regulations and company procedures, including the requirement that no work begins without an authorized work order.
  • Maintain accurate maintenance planning records, configuration change logs, and scheduling documentation.
  • Support audit readiness through organized planning documentation and clean, consistent system data.
  • Track and report maintenance metrics: on-time delivery, on-budget performance, technician utilization, work order aging, open/unposted work orders, and three-way match status.
Qualifications
  • 3–5+ years of maintenance planning, maintenance control, production planning, or aircraft maintenance experience.
  • Hands-on experience with Corridor (Main and/or Go) is required, including work order creation and administration; experience with Corridor system configuration, canned libraries, reporting, or the CAMP Connect integration strongly preferred.
  • Experience administering or serving as a power user/superuser of an aviation maintenance ERP, including permissions, templates, and data cleanup.
  • Experience in an FAA Part 145 Repair Station preferred; exposure to combined Part 135/145 environments a plus.
  • Working knowledge of FAA regulations, aircraft maintenance programs, RII requirements, and maintenance documentation.
  • Experience using maintenance tracking software such as CAMP, CESCOM, Quantum, Traxxall, or similar systems, and moving data between tracking systems and the maintenance ERP.
  • Strong understanding of aircraft maintenance planning processes, inspection intervals, and maintenance forecasting.
  • Demonstrated attention to data integrity: comfortable auditing records, correcting bad data, and enforcing input standards.
  • Excellent organizational, multitasking, and communication skills; able to hold departments accountable to the plan.
  • Ability to work in a fast-paced environment while managing multiple aircraft projects simultaneously.
  • Proficiency with Microsoft Office, particularly Excel and Outlook; comfortable working with spreadsheet imports/exports for bulk data loading.
Preferred Qualifications
  • Previous experience planning maintenance for turbine-powered business aircraft.
  • Familiarity with Cessna Citation (CJ series, Ultra, Bravo), Falcon, Hawker, Pilatus PC-12, or similar aircraft.
  • Experience building canned squawk/resolution libraries or standing up Corridor Go for shop floor use (including tablet/iPad deployments).
  • Experience with Corridor reporting, analytics, or data lake/dashboard initiatives.
  • Airframe & Powerplant (A&P) Certificate preferred but not required.
  • Knowledge of inventory planning, min/max stocking, consignment programs, and procurement processes.
  • Experience supporting three-way match (PO, receiving, invoice) processes within a maintenance ERP.
Benefits:
  • Optional Medical, Dental, Vision, and Life Insurance.
  • Flexible Spending Account (FSA) and Health Savings Account (HSA) options.
  • Disability insurance (short and long term).
  • 401(k) with company match after 3 months of employment.
  • Paid Time Off (PTO)
