ReGain Law Firm is seeking a vibrant, compassionate, and highly motivated Intake Specialist to join our growing team. We are not your typical law firm. Our practice focuses exclusively on high-conflict divorce, child custody, and family law matters, helping clients navigate some of the most difficult and emotional situations of their lives.
The Intake Specialist serves as the first point of contact for prospective clients and plays a critical role in the firm's growth. The ideal candidate is an excellent communicator who can build rapport quickly, identify potential client needs, and convert qualified leads into scheduled consultations. This position is perfect for someone who enjoys helping people, thrives in a fast-paced environment, and is motivated by achieving results.
Responsibilities:
- Answer incoming calls, emails, text messages, and website inquiries from prospective clients.
- Conduct initial intake screenings and gather relevant information about potential cases.
- Build trust and rapport with prospective clients while demonstrating empathy and professionalism.
- Explain the firm's services, consultation process, and next steps to prospective clients.
- Schedule consultations and maintain attorney calendars.
- Follow up with prospective clients who have not yet scheduled or attended consultations.
- Track, manage, and document all lead activity within the firm's intake and systems.
- Assist with client onboarding and collection of required documents and information.
- Maintain accurate and organized records of all communications with prospective and new clients.
- Monitor consultation attendance and follow up with no-shows when appropriate.
- Help improve intake processes and client experience initiatives.
- Provide exceptional customer service to every prospective and existing client.
- Work closely with attorneys and staff to ensure a seamless client experience from first contact through retention.
- Coordinate with the marketing team on lead quality and source performance.
- Send welcome packets and onboarding materials to newly signed clients.
Qualifications:
- Excellent verbal and written communication skills.
- Strong customer service, sales, intake, or client relations experience preferred.
- Ability to build rapport quickly and communicate effectively with individuals experiencing stressful situations.
- Excellent interpersonal skills and professional phone presence.
- Strong organizational skills and attention to detail.
- Excellent time management skills with the ability to prioritize tasks and meet deadlines.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and sound judgment.
- Ability to maintain confidentiality and exercise discretion.
- Comfortable using Microsoft Office, CRM systems, and other office technology.
- Experience in a law firm, family law practice, sales environment, or customer-facing role is preferred but not required.
