Schedule Format - Location: Hybrid - San Francisco

Pay Information: Hourly Rate: $33.24-$41.55

The Production Coordinator supports the day-to-day operations and execution of KQED’s Digital Video production portfolio. This position coordinates the administrative, logistical, and operational needs of Digital Video productions from pre-production through production, post-production, delivery, and archiving.

The Production Coordinator will work closely with Digital Video producers, editors, Audience Development, Production, Finance, Legal, TV &Engineering, vendors, freelancers, and other internal and external partners to ensure that projects remain organized, properly documented, and on schedule. This position will maintain production information and systems, coordinate resources and logistics, track deliverables, and provide day-to-day support to production teams.

The ideal candidate is highly organized, detail-oriented, resourceful, and comfortable managing multiple projects and priorities in a fast-paced production environment. The position requires strong communication skills, an understanding of digital video production workflows, and the ability to anticipate production needs, resolve routine issues, and escalate more complex issues to TV & Engineering Department Leads.

This position will support productions across KQED’s Digital Video portfolio, including midform YouTube content, vertical video series, and television broadcast programs supporting KQED’s Food, Guides, and Technology editorial verticals.

This is a full-time, limited-term position reporting to the Manager, Video Content and Development.

This role will work hybrid between working in KQED's newly renovated headquarters ( and working remotely. 

Essential Functions:

• Support the day-to-day coordination of multiple Digital Video productions from pre-production through production, post-production, delivery, and archiving.

• Maintain production calendars, project trackers, schedules, and other production documentation in Airtable and other systems used by Digital Video.

• Coordinate scheduling of production and post-production spaces, equipment, and other resources using KQED-designated scheduling systems.

• Support producers and production teams with the preparation and distribution of production documents, schedules, contact lists, releases, permits, and other required materials.

• Assist with coordinating freelance crew, vendors, production partners, and other external collaborators.

• Manage day-to-day equipment check-in and check-out, maintain accurate inventory records, and ensure equipment is available when needed for productions.

• Coordinate repairs, maintenance, shipping, and returns with vendors.

• Manage the coordination of the ordering and procurement of production supplies, equipment, and other resources as directed.

• Support the use and ongoing administration of Digital Video production systems, including Airtable, Jira, Cheqroom, and other department tools.

• Track the upkeep of accurate production records and documentation, ensuring information is current and accessible to relevant production staff such as APM Cue Sheets, visual cue sheets, releases, and other legal documents.

• Track production deliverables, deadlines, approvals, and outstanding needs across multiple projects.

• Assist with obtaining third-party materials, rights clearances, releases, permits, licenses, and other production documentation as needed.

• Assist with processing and tracking contracts, purchase orders, invoices, and other production-related administrative materials in coordination with Finance, Legal, and the TV & Engineering Department. 

• Assist with media management and the movement, organization, and tracking of production assets throughout the production and post-production process in coordination with the Manager, Digital Asset Management & Archives.

• Support the delivery and handoff of completed production materials to appropriate teams for distribution, asset management, and archiving.

• Provide on-site and field production support as needed, including assisting with production setup, logistics, equipment, and crew coordination.

• Maintain shared production spaces and resources and ensure that production areas are properly prepared and reset following use.

• Maintain accurate records for Digital Video accounts, subscriptions, vendors, and other production resources as assigned.

Other Job Functions:

• Participate in regular production logistics meetings and provide updates on project status, upcoming needs, scheduling conflicts, and outstanding action items.

• Perform other video production and organizational duties as assigned.

Knowledge/Experience Required:

• Minimum of five years of experience working in video production, production coordination, media operations, or a related field.

• Demonstrated ability to coordinate multiple projects, deadlines, and logistical needs in a fast-paced production environment.

• Working knowledge of digital video production workflows, including pre-production, field production, post-production, delivery, and archiving.

• Strong organizational skills and exceptional attention to detail.

• Ability to maintain accurate production records, calendars, schedules, and documentation.

• Experience working with production management, scheduling, asset management, or project management systems.

• Familiarity with digital media production equipment and production terminology.

Knowledge/Experience Desired:

• Experience working in a public media, broadcast, television, digital media, or production company environment.

• Experience with Airtable, ScheduAll, Jira, Cheqroom, or similar production management, scheduling, ticketing, or asset management systems.

• Experience with production contracts, releases, permits, licensing, or rights documentation.

• Experience with media management, digital asset management, or production archiving.

• Familiarity with television and digital video delivery workflows and technical requirements.

• Experience supporting productions distributed across YouTube, social video platforms, and television.

• Familiarity with production accounting, purchase orders, invoices, and budget tracking.

• Bachelor’s degree preferred.
