What You'll Do As a Staffing Coordinator, you will play a central role in maintaining continuity of care and supporting the daily operations of our home-care services. Coordinate caregiver schedules based on client care plans, caregiver availability, qualifications, preferences, and client needs. Communicate clearly and respectfully with caregivers regarding assignments, client expectations, special care instructions, and schedule changes. Use our scheduling system to monitor coverage, identify gaps, resolve conflicts, balance workloads, and support timely service delivery. Respond calmly and effectively to last-minute callouts, schedule changes, emergencies, and coverage needs. Maintain accurate scheduling documentation, reports, client requests, and caregiver-related records. Partner with the Branch Manager on caregiver hiring, onboarding, profile setup, required credentials, training coordination, and peer engagement. Support payroll administration by processing missed punches that are submitted in writing by caregivers. Serve as backup support for Client Care Coordinators and caregivers during absences or urgent situations, including assistance with new client intakes, assessments, and care planning. Assist with general office and administrative responsibilities as needed. Participate in team meetings, in-service education, workshops, and ongoing professional development. Identify opportunities to improve scheduling processes, office operations, caregiver coordination, and the client experience. Excellent communication skills, including the ability to communicate professionally with caregivers, clients, families, and team members from diverse backgrounds. A calm, empathetic approach to resolving conflicts and handling urgent staffing needs. The ability to prioritize tasks, meet deadlines, and maintain accuracy under pressure. Confidence learning and using scheduling platforms, office technology, and Microsoft Office applications. Associate degree in office administration or a related field preferred. Current Home Care Aide (HCA) or Certified Nursing Assistant (CNA) credential required. At least two years of staffing, scheduling, home care, healthcare, or related coordination experience required. Intermediate written and verbal English communication skills. Strong practical reasoning, basic mathematical skills, and ability to interpret written, verbal, diagrammatic, and scheduling instructions. Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, OneNote, OneDrive, and SharePoint. Ability to learn and effectively use automated scheduling and office systems. Work Environment This position is based in a busy office environment and may involve frequent communication by phone, email, text, and in person. The role requires flexibility, professionalism, and a strong service mindset while supporting caregivers and clients. The successful candidate must be able to perform the essential functions of the position, with or without reasonable accommodation. This includes regular sitting, standing, walking, reaching, using hands and fingers, talking, hearing, and performing repetitive tasks.
