About the Role:

The Unit Secretary in the Emergency room plays a critical role in supporting the efficient operation of a healthcare unit by managing administrative and clerical tasks that facilitate patient care. This position involves coordinating communication between medical staff, patients, and families, ensuring that all necessary documentation is accurate and promptly processed. The Unit Secretary is responsible for maintaining patient records, scheduling appointments, and managing the flow of information within the unit to support clinical staff. Working on a per diem basis across day and night shifts, the role requires flexibility and adaptability to meet the dynamic needs of the healthcare environment. Ultimately, the Unit Secretary contributes to a smooth, organized, and patient-centered unit that enhances overall care delivery and staff productivity.

Minimum Qualifications:

• High school diploma or equivalent.
• Previous experience in a healthcare or medical office setting preferred.
• Basic knowledge of medical terminology and healthcare documentation.
• Proficiency in using office software and electronic health record (EHR) systems.
• Strong organizational and communication skills.

Preferred Qualifications:

• Certification as a Unit Secretary or Medical Secretary.
• Experience working in a hospital or clinical environment.
• Familiarity with HIPAA regulations and patient confidentiality standards.
• Ability to work independently and manage multiple tasks in a fast-paced setting.
• Flexibility to work both day and night shifts on a per diem basis.

Responsibilities:

• Answer and direct incoming phone calls promptly and professionally to appropriate personnel or departments.
• Maintain and update patient records, ensuring accuracy and confidentiality in compliance with healthcare regulations.
• Coordinate patient admissions, discharges, and transfers by communicating with nursing staff and other departments.
• Prepare and distribute daily schedules, reports, and correspondence to support clinical operations.
• Manage inventory of office and medical supplies, placing orders as needed to ensure uninterrupted unit function.
• Assist in the preparation of medical charts and documentation required for patient care and billing.
• Serve as a liaison between patients, families, and healthcare providers to facilitate clear communication.
• Support the unit staff by performing various clerical duties such as filing, faxing, and data entry.
