Accounting Specialist

Job Full Description

A local warehouse is seeking a highly organized and detail-oriented Accounting Specialist to support daily financial operations. This position will work closely with the Director of Finance and Operations Manager to compile, analyze, and record financial and operational data. The ideal candidate will have strong accounting knowledge, experience with QuickBooks and Excel , and the ability to work independently in a fast-paced environment.

Essential Responsibilities

Accounting & Financial Operations

• Review the daily work of the Accounting Clerk, including Accounts Payable and Accounts Receivable functions.
• Ensure invoices, payments, credits, and customer billings are processed accurately and timely.
• Monitor aging reports and assist with collections, payment discrepancies, freight claims, and account reconciliations.
• Compile, compute, analyze, and record financial, accounting, statistical, and operational data.
• Prepare journal entries, account reconciliations, and assist with month-end and year-end closing activities.
• Reconcile company credit cards, employee benefits, and balance sheet accounts.
• Prepare financial, statistical, and management reports.
• Maintain accurate accounting records and organized filing systems.

Inventory & Operational Support

• Process material receipts, inventory adjustments, production reporting, and inventory reconciliations.
• Assist with inventory audits and maintain records supporting product traceability.
• Ensure inventory transactions are accurately reflected within accounting systems.
• Support purchasing activities and vendor documentation.
• Enter customer orders and assist with customer invoicing.

Payroll & Administrative Support

• Coordinate payroll-related reporting with Human Resources and temporary staffing agencies.
• Answer phones and perform general administrative duties as needed.

Qualifications

Required

• Minimum of 3 years of accounting experience .
• Previous experience with QuickBooks and Microsoft Excel .
• Experience with Accounts Payable, Accounts Receivable, payroll support, and inventory accounting.
• Advanced proficiency in Microsoft Excel.
• Proficiency with Microsoft Word, Outlook, and PowerPoint.
• Experience using accounting and ERP software.
• High school diploma or GED.
• Strong analytical, organizational, and problem-solving skills.
• Excellent attention to detail and accuracy.
• Self-motivated with the ability to work independently and with minimal supervision.
• Ability to motivate and collaborate effectively with others.
• Able to manage multiple priorities without becoming overwhelmed in a fast-paced environment.

Preferred

• Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
• Manufacturing or food production accounting experience.
• Equivalent accounting experience may be considered in place of a degree.

Work Environment

• Primarily office-based with occasional visits to manufacturing and warehouse areas.
• Collaborative team environment supporting accounting, operations, and inventory functions.
