Lead Medical Support Assistant

Overview The Lead Medical Support Assistant (LMSA) assists staff with clerical duties in outpatient clinics that provide a variety of medical services. The LMSA performs supervisory administrative functions related to patient care and treatment. Qualifications United States citizenship (non‑citizens may be appointed only when no qualified citizens are available). High school diploma, GED, or state proficiency certificate. Proficiency in spoken and written English. At least one year of creditable experience equivalent to GS‑6 (for a GS‑7 assignment). Advanced knowledge of medical terminology and clinical flow processes across multiple clinics. Strong communication and coordination skills with interdisciplinary care teams. Ability to use advanced patient systems and manage staffing/workflow. Staff development and training capability. Effective follow‑up on pending issues and understanding impact on multiple clinics. Spend at least 25% of time on lead duties for all lead assignments. Physical: sedentary work with periodic walking, standing, bending, and carrying light items. Responsibilities Ensure coverage of all assigned responsibilities. Conduct ongoing reviews to maintain quality of work. Accurate and timely scheduling of appointments. Provide guidance to staff on policy and procedure changes. Distribute and balance workload; create and maintain employee schedules. Orient and provide on‑the‑job training for new and current employees. Verify that all training requirements are met and evaluate training records. Act as liaison between MSAs and staff to resolve day‑to‑day conflicts. Set the tone for the perception of healthcare quality at the VA. Screen and receive phone calls courteously and timely. Train staff on VHA Scheduling Directives and fulfill accurate scheduling responsibilities. Coordinate lead MSA assignments and workflow in interdisciplinary units. Conduct daily workload assessments, assign work, and ensure proper staffing coverage. Determine staffing needs, adjust workflow, and meet team and patient needs. Parental leave: up to 12 weeks of paid leave after 12 months of employment. Child care subsidy: up to 25% of eligible childcare costs for employees with a total family income below $144,000. Traditional federal pension (5‑year vesting) and federal 401(k) with up to 5% employer match.
