Staff Accountant

The Staff Accountant I supports the monthly close process and day-to-day accounting operations with a focus on expense management, cash and balance sheet reconciliations, intercompany accounting, and sales tax preparation. This role serves as the primary administrator for the Company's expense management system (Concur) and corporate credit card program, ensuring compliance with company policies, accurate financial reporting, and timely processing. The Staff Accountant I works under moderate supervision and follows established accounting policies and procedures. Key Responsibilities Expense Management & Concur Administration Serve as the primary administrator for the Company's expense management system (Concur) Maintain system configuration, user access, and expense categories in accordance with company policies Process and review employee expense reports for accuracy, completeness, and policy compliance Audit expense reports to ensure proper documentation, business purpose, and adherence to company travel and expense policies Resolve employee inquiries related to expense reporting, reimbursements, and system usage Partner with Finance and HR to support expense policy updates and training Corporate Credit Card Administration Administer the corporate credit card program, including card issuance, maintenance, and user support Reconcile corporate credit card transactions to supporting documentation and expense reports Prepare and process corporate credit card payments on a timely basis Investigate and resolve unreconciled or disputed card transactions Maintain controls and documentation related to corporate card usage General Ledger & Month-End Close Prepare and post routine monthly journal entries, including accruals, reclassifications, and intercompany entries Support month-end and quarter-end close activities in accordance with the close calendar Assist in maintaining accurate general ledger balances and supporting schedules Research and resolve variances and reconciling items in a timely manner Intercompany Accounting Prepare and record intercompany journal entries in accordance with company policies Reconcile intercompany balances between entities and investigate discrepancies Coordinate with internal stakeholders to resolve intercompany differences Maintain documentation supporting intercompany transactions Cash & Balance Sheet Reconciliations Perform monthly bank and cash account reconciliations Prepare balance sheet account reconciliations with appropriate supporting schedules Identify, research, and resolve reconciling items Ensure reconciliations are completed accurately and in compliance with internal controls Sales & Use Tax Assist with preparation of monthly and quarterly sales and use tax returns Compile and reconcile data supporting taxable and nontaxable transactions Maintain organized documentation to support filings and audits Coordinate with external tax advisors or internal teams as needed Compliance, Controls & Other Duties Adhere to company accounting policies, procedures, and internal controls Support internal and external audit requests by providing documentation and schedules Assist with process improvement initiatives related to expense management, reconciliations, and close Support adhoc accounting projects as assigned Pay: up to $35/hr Location: Maitland, FL (hybrid) Schedule: M-F 8-5pm 3-6 month contract position Equal Opportunity Notice Highspring LLC (d/b/a Vaco by Highspring) and its parents, affiliates, and subsidiaries ("we," "our," or "Vaco by Highspring") are committed to the full inclusion of all qualified individuals and does not discriminate against any employee or applicant for employment because of race, color, sex, religion or creed, national origin, citizenship, age, disability, status as a veteran, union membership, ethnicity, gender, gender identity, gender expression, sexual orientation, marital status, political affiliation, or any other protected characteristics as required by applicable law.
