The Circulation Manager manages the Circulation Department in its duties of issuing library cards, materials circulation, inter library loan, and shelving. Hires, trains, and supervises all circulation staff and enforces all library policies and procedures to ensure patrons receive excellent customer service.

Hours & Pay: This is a year-round, full-time exempt position at 40 hours per week. Hours vary according to duties, including nights and weekends. Salary: $62,376 - $77,970, depending on qualifications.

Duties:

• Coordinates circulation operations with other library services, working closely with the management and staff of all other library departments.
• Analyzes and enforces Circulation and ILL policies and is proactive about requesting updates to them when department and/or patron needs change.
• Creates monthly statistical reports.
• Works with the IT department on catalog updates and maintenance of computers and other technology equipment used by the department.
• Communicates effectively in person in meetings as well as in writing via email and other channels:
• Imparts information to the department they may need to know.
• Imparts to the managers or Assistant Director any pertinent news from Circulation Department or consortium meetings.
• Holds regular “PIC” meetings (weekly or monthly) as well as at least 4 department meetings per year.
• Conducts one-on-one meetings with the PIC-level staff on a regular basis.
• Attends “All-Hands”, small group and manager meetings and also one-on-one meetings with the Assistant Director.
• Recruits, hires, trains, supervises, evaluates and dismisses Circulation department employees subject to the approval of the Assistant Director.
• Conducts Reviews of all Circulation Staff, splitting up the duties when appropriate with the Assistant Circulation Manager and Page Supervisor.
• Appropriately delegates the coverage of shifts, duties, and tasks.
• Works with the Assistant Circulation Manager in the creation of the desk schedule.
• Approves timesheets and time off requests according to Library procedures & policy.
• Closely monitors all financial transactions of the Department:
• Coordinates with Unique Collection Agency for patron billing and collections.
• Coordinates with Electronic Licensing Services for the License Plate Renewal Services.
• Works with the Business Manager on rectifying the cash register and credit card receipts.
• Authorizes any purchases made from the Circulation Budget.
• Fills in for staff as necessary: capable of performing the day-to-day job of any Circulation department staff person.
• Plans and implements departmental goals and objectives with assistance of Assistant Director.
• Attends regular continuing education seminars related to departmental tasks and objectives; attends & participates in consortium and system-related committees and meetings.

Organizational Relationships:

• Reports directly to the Assistant Director.
• Supervises the Assistant Circulation Manager, Page Supervisor, ILL and Materials Coordinators.
• Supervises Circulation Assistants and approves timesheets & time off requests for Pages.
• Works closely with other management staff and administration.

Requirements

Qualifications:

• Post-secondary degree or 5 or more years of customer service experience.
• 3 or more years of supervisory experience is required.
• Able to supervise staff fairly and effectively, including delegating duties as appropriate.
• Be proficient in computer applications and Internet use.
• Experience working at a library’s circulation desk or similar customer service role preferred.
• Display an outgoing, friendly personality and ability to think on your feet.
• Possess the ability to work independently and collaboratively as part of a team.
• Excellent interpersonal, written and verbal communications skills.
• Personable, with excellent professional image, strong customer service skills, and higher-level planning/organizational skills.
• Budgetary experience preferred.
• At least 18 years of age with a valid driver’s license.

Physical Requirements:

• Bending, stooping and twisting to retrieve and place objects from place to place.
• Grasping using the entire hand and arm strength to carry & place objects.
• Reaching above shoulder to place, shift, and retrieve materials on high shelves.
• Light lifting and carrying: raising and/or moving objects between 5-25 pounds.
• Pushing/pulling a cart on wheels weighing as much as 100 pounds.
• Repetitive motion of hands, arms, legs, and torso.
• Fingering: picking, pinching, grasping, typing or otherwise working with fingers in addition to the whole hand – throughout the entire 4-hour shift.
• Visual: able to detect color coding of materials and read a computer screen.
• Communication: Fluent in English, both written and oral. Able to speak and be heard and hear the speech of various patrons and co-workers in person and over the phone.
