Statement of Purpose:
The Administrative Assistant to the CEO provides high-level administrative support to the Chief Executive Officer by managing schedules, handling correspondence, preparing reports, coordinating meetings, and ensuring efficient day-to-day operations. This role requires discretion, professionalism, and exceptional organizational skills to support executive-level decision-making.
Key Responsibilities:
- Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
- Serve as a gatekeeper by screening and prioritizing incoming requests, emails, and phone calls.
- Coordinate internal and external meetings, including preparing agendas, taking minutes, and tracking action items.
- Prepare confidential reports, presentations, and communications on behalf of the CEO.
- Handle sensitive information with a high degree of confidentiality and professionalism.
- Liaise with senior leadership, physicians, board, and community members on behalf of the CEO.
- Assist with the preparation and coordination of board meetings and executive-level communications.
- Maintain organized filing systems, both digital and physical.
- Monitor and manage special projects as assigned by the CEO.
- Perform general administrative tasks including expense reporting, document management, and office coordination

Requirements
Job Requirements:
- Minimum of a two-year degree in office management or similar degree. Two years of executive secretarial experience preferred.
- Must be highly proficient in typing and word processing.
- Must have in-depth knowledge of organization, relationships and key personnel of a hospital.
- Must have thorough knowledge of correct office procedures, English grammar, spelling and punctuation.
- Ability to work independently without supervision on administrative and medical staff tasks and to make decisions within the framework of departmental policies and hospital and medical staff bylaws.
- Ability to follow complex instructions.
- Considerable verbal and written capabilities.
- Supervisory ability.
$24 - $27 per hour
