Estate and Probate Paralegal

Job Summary

A respected law firm in West Palm Beach, FL is seeking an experienced Estate and Probate Paralegal to join its growing Private Client Services team on a direct hire basis. This full-time, onsite opportunity is ideal for a detail-oriented legal professional with strong Florida probate experience and a background supporting complex estate administration, trust administration, and probate proceedings.

This role offers the opportunity to work in a professional, collaborative legal environment with supportive attorneys, strong team communication, and meaningful client-facing work. The Estate and Probate Paralegal will play an important role in helping families, fiduciaries, and legal teams navigate estate settlement matters with accuracy, urgency, and care.

Key Responsibilities

- Prepare, organize, and maintain probate and estate administration files from opening through closing.
- Draft, revise, and file probate pleadings, petitions, inventories, accountings, and related court documents.
- Monitor probate court deadlines, case activity, filings, hearings, and procedural requirements.
- Assist attorneys with trust administration, estate settlement matters, and fiduciary communications.
- Prepare client correspondence and communicate professionally with courts, attorneys, clients, and outside parties.
- Support IRS-related filings, including estate and gift tax documentation, while maintaining accurate electronic case records.

Compensation and Benefits

- Salary range: $60,000 to $80,000 per year.
- Job type: Direct hire.
- Schedule: Full-time, Monday through Friday.
- Work arrangement: Onsite in West Palm Beach, FL.

Required Qualifications and Skills

- Manage probate and estate administration files, pleadings, inventories, accountings, and related documentation.
- Support trust administration, estate settlement, IRS filings, and client communications.
- Track deadlines, maintain electronic case files, and assist with billable time and case management activities.

- 5+ years of probate, trust and estates, or estate administration experience in a law firm environment.
- Strong knowledge of Florida probate procedures, court filings, and estate administration requirements.
- Experience drafting probate-related legal documents, including petitions, pleadings, inventories, and accountings.
- Proficiency with Microsoft Office Suite, including Word, Outlook, and Excel.
- Excellent organizational skills with the ability to manage multiple deadlines and priorities independently.
- Strong written and verbal communication skills with a client-focused and professional approach.
- High attention to detail, sound judgment, discretion, and a strong sense of urgency.
- Bachelor’s degree or equivalent experience preferred.

Preferred Qualifications

- Florida Registered Paralegal designation.
- Experience handling complex probate matters.
- Prior experience supporting a Private Client Services, trusts and estates, or estate planning practice group.
