Patient Coordinator

Dakota Dunes, South Dakota, United States Title: Practice Coordinator Practice: Oral Surgery Implant Specialist Location: Dakota Dunes, SD Hours: Thursday - Friday 8:00am - 3:00pm Position Purpose: The Patient Coordinator is a key member of our healthcare team, responsible for ensuring smooth and efficient patient flow and coordination within our practice. This role involves direct patient interaction, administrative support, and collaboration with clinical staff to deliver excellent patient care and service. Our office is a high-energy, fast-paced environment that serves a high volume of patients each day. Candidates should be comfortable managing a consistently busy workload, handling multiple phone lines and responsibilities, and navigating occasional high-pressure situations while maintaining professionalism and excellent patient care. We are looking for someone who enjoys staying busy, adapts well to changing priorities, and can provide a positive, patient-centered experience even during our busiest times. Essential Functions Patient Interaction and Support : Greet and welcome patients upon arrival. Assist patients with check-in and check-out processes. Provide information on clinic policies, procedures, and services. Answer patient phone calls and address inquiries promptly and professionally. Schedule and confirm patient appointments, ensuring optimal appointment utilization. Monitor schedules for patient cancellations and follow-up with patients that need to reschedule. Administrative Duties : Maintain and update patient records in the electronic health record (EHR) system. Coordinate referrals, diagnostic tests, and follow-up appointments. Verify patient insurance information and manage prior authorization processes. Handle billing and payment processes, including collection of co-pays and outstanding balances. Prepare and manage patient forms and documentation. Other duties as assigned by the practice administrator. Communication and Coordination: Serve as a liaison between patients, healthcare providers, and other staff members. Communicate effectively with clinical staff to ensure patient needs are met. Facilitate communication regarding patient care plans and instructions. Customer Service: Always maintain a high standard of customer service and professionalism. Address patient complaints and elevate issues to management when necessary. Strive to create a positive and supportive environment for patients and their families. Compliance and Confidentiality: Adhere to all healthcare regulations and privacy laws, including HIPAA. Ensure patient confidentiality and security of sensitive information. Follow clinic policies and procedures to maintain compliance with healthcare standards. Qualifications Education High school diploma or equivalent required. Experience Previous experience in a healthcare setting, particularly in patient coordination or an administrative role, is preferred. Prior experience managing multiple phone lines and performing accurate data entry is required . Experience using electronic health record (EHR) systems and other office software preferred. Knowledge of applicable healthcare regulations and compliance requirements is a plus. Performance Requirements Strong multitasking and organizational skills with the ability to effectively manage multiple priorities. Excellent attention to detail and accuracy, particularly when entering and maintaining patient information. Excellent interpersonal and communication skills with a patient-centered approach. Approachable, professional demeanor when interacting with patients, providers, and team members. Ability to remain calm, organized, and professional when priorities shift or demands increase.
