Job Description

Position Summary

The Real Estate Operations Analyst supports the Property Manager, onsite team, and Asset Management by ensuring operational efficiency, financial accuracy, and consistent execution across an assigned property or portfolio. This role blends hands-on administrative and operational support—across leasing, resident relations, inspections, collections, and vendor coordination—with property-level financial execution and portfolio reporting, serving as a key bridge between Corporate, Asset Management, and onsite teams.The Real Estate Operations Analyst plays a direct role in maintaining resident satisfaction, property appearance, and compliance with Arcan Capital standards, while also strengthening operational consistency and financial accuracy across the portfolio. This role requires strong organization, communication, analytical skill, and the ability to manage multiple priorities in a fast-paced property management environment.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

 

• Support the Property Manager and onsite team with daily property operations, including leasing activities such as responding to prospect inquiries, scheduling and conducting tours, following up with leads, processing applications, and assisting with move-in/move-out activities.
• Provide professional, courteous customer service to current and prospective residents, guests, vendors, and team members, assisting with resident requests and concerns and escalating matters to the Property Manager as appropriate.
• Assist with property inspections, monitoring common areas, vacant units, amenities, and curb appeal for cleanliness, safety, and overall condition, and report maintenance, safety, or appearance concerns to the appropriate team member.
• Assist with coordinating maintenance requests, work orders, and unit turnover/make-ready processes, documenting outstanding items and communicating completion concerns to the Maintenance Supervisor or Property Manager.
• Support resident retention activities, resident communications, and property events as directed by management.
• Support rent collection and delinquency tracking, including monitoring delinquent accounts, communicating with residents on outstanding balances, and coordinating renewals and evictions in partnership with onsite teams.

• Support AP/AR workflows, including invoice review, deposits, ledger corrections, utilities processing, write-offs, and maintaining resident account accuracy.
• Maintain accurate resident files, lease documents, inspection records, and other documentation, and keep records current within Yardi® and related property management systems.
• Assist with vendor coordination, scheduling, access, documentation, and follow-up as assigned.
• Prepare and distribute weekly and monthly operational and financial reports, and support reviews of operational reports to maintain accurate information in company systems.
• Support financial reviews, including variance analysis, accruals, and reclasses.
• Monitor property performance metrics, identifying trends, inconsistencies, or process gaps and recommending practical improvements.
• Assist with acquisitions, onboarding processes, property audits, compliance activities, and ad hoc reporting requests.
• Ensure reporting consistency and adherence to company standards across assigned properties, and conduct periodic site visits to validate reporting accuracy and operational alignment.
• Maintain documentation, reporting templates, and scalable workflows to support portfolio growth.
• Support the Property Manager with administrative duties including filing, data entry, correspondence, and other office responsibilities.
• Handle resident, financial, and company information confidentially and professionally, and assist with emergency situations and property-related incidents per company policy.
• Maintain a professional appearance and represent Arcan Capital positively, working collaboratively with the Property Manager, Maintenance Supervisor, leasing personnel, vendors, and other team members.
• Maintain working knowledge of company policies, Fair Housing requirements, OSHA, and other applicable regulations.
• Perform other duties as assigned by the Property Manager, Regional Manager, Asset Management, or other company leadership.

Minimum Qualifications (Knowledge, Skills, and Abilities)

• High school diploma or equivalent required; Bachelor's degree in Finance, Accounting, Real Estate, Business Analytics, or a related field preferred.
• Minimum of 1 year of experience in property management, leasing, customer service, administrative support, hospitality, or a related field; multifamily property management or property operations/asset management/accounting experience strongly preferred.
• Must be 18 years of age or older.
• Strong analytical, financial, and operational skills with exceptional attention to detail; high proficiency in written, verbal, and arithmetic skills.
• Advanced proficiency in Microsoft Excel, with working knowledge of Word and Outlook; ability to learn and effectively use Yardi® and other company technology systems.
• Working knowledge of AP/AR processes and basic financial reporting, along with basic knowledge of leasing, resident relations, maintenance coordination, and collections.
• Strong organizational skills with the ability to manage multiple tasks and priorities in a fast-paced environment while maintaining accuracy and consistency.
• Strong customer service and interpersonal skills, with clear, professional communication across residents, prospects, vendors, and team members.
• Ability to exercise sound judgment, maintain confidentiality, and handle sensitive resident, financial, and company information with discretion.
• Ability to work independently while functioning effectively as part of a team, prioritizing responsibilities and meeting deadlines with minimal supervision.
• Ability to follow company policies, Fair Housing requirements, OSHA requirements, and other applicable laws and regulations.
• Ability to earn future certifications or designations as required by industry standards, company requirements, and applicable regulations.
• Valid driver's license and willingness to travel periodically.

Physical Demands and Work Environment

 

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. The role also involves frequent physical activity, including walking up and down stairs, navigating various terrain throughout the property, and conducting leasing demonstrations and property inspections.

The employee may be required to bend, stoop, squat, and climb stairs during these tasks, and may need to push or pull doors during tours or inspections. Local travel is required to perform job-related errands, such as banking and purchasing supplies, and as such, an operable personal vehicle and valid driver’s license are necessary. Occasional out-of-state travel may also be required. The employee may occasionally need to transport or move up to 25 pounds across varying distances.
