Job Description

The Shipping and Receiving Clerk manages the end-to-end flow of tools and parts through a climate-controlled shop, ensuring accurate intake, inventory integrity, and timely outbound shipments. This role coordinates closely with repair, sales, and operations teams to log incoming tools, receive and validate parts, maintain accurate records in NetSuite, and prepare repaired tools for prompt return to customers.

Responsibilities

  • Receive, check in, tag, and stage tools as they arrive, ensuring each unit is accurately logged and routed for diagnosis and repair.

  • Validate, receive, and put away twice-weekly transfer orders into the shop’s NetSuite location, confirming all items against order documentation before shelving stock.

  • Receive, validate, and store parts purchased directly for the shop’s NetSuite location, applying the same accuracy and verification standards as for transfer orders.

  • Perform regular stock counts on shop parts to maintain inventory accuracy and support efficient tool turnaround without delays caused by parts shortages.

  • Manage the full life cycle of repair quotes and orders within NetSuite, including updating order status, responding to inquiries from sales team members, and maintaining accurate reporting on open orders.

  • Research and track past-due parts, working within NetSuite and related systems to identify delays and support timely resolution.

  • Prepare repaired and tested tools for outbound shipment, including packaging, labeling, and documentation, to ensure accurate and prompt dispatch to customers.

  • Coordinate outbound shipping activities to meet accuracy and turnaround expectations, including selecting appropriate carriers and confirming shipment details.

  • Provide counter support as needed, assisting with customer and sales team interactions at the service counter and ensuring professional, timely service.

  • Maintain consistent, documented processes for intake, receiving, counting, and outbound steps so that the shop’s administrative workflow remains repeatable and auditable.

  • Support and maintain operational reporting on order status, parts availability, and shop throughput to provide clear visibility into shop performance.

  • Use RF scanners and other warehouse tools to track inventory movements, support data accuracy, and streamline material handling.

  • Perform general material handling tasks such as organizing shelves, rotating stock, and maintaining a clean and orderly tool room and warehouse area.

  • Enter and update data in NetSuite and other systems to ensure that inventory, orders, and shipping records remain accurate and current.

Essential Skills

  • Experience in shipping and receiving within a warehouse, tool room, or logistics environment.

  • Hands-on experience with inventory control and warehouse inventory management.

  • Ability to perform accurate parts receiving, including validation of transfer orders and direct purchase orders.

  • Proficiency with NetSuite or similar enterprise resource planning (ERP) or order management systems.

  • Familiarity with SAP or comparable inventory or logistics systems.

  • Experience using RF scanners for inventory tracking and material handling.

  • Strong data entry skills with a high level of accuracy and attention to detail.

  • Proficiency with Microsoft Office applications for basic reporting and communication.

  • Experience in logistics, parts warehouse operations, and material handling.

  • Ability to manage open order and quote workflows, including tracking, reporting, and communication with internal stakeholders.

  • Strong communication skills to support coordination with sales, operations, and customers.

  • Ability to maintain outbound shipping accuracy and meet turnaround expectations.

Additional Skills & Qualifications

  • Experience working in a tool room, repair shop, or similar technical environment.

  • Experience in packaging and preparing products or tools for shipment.

  • Comfort working with structured, documented processes and audit-ready workflows.

  • Experience supporting operational reporting related to order status, parts availability, and throughput.

  • Ability to provide front-counter or customer-facing support in a service-oriented setting.

  • Strong organizational skills and the ability to manage multiple tasks in a fast-paced environment.

Work Environment

This role is based in a climate-controlled shop and tool room environment, providing a clean, comfortable, and organized workspace. The position involves regular work in warehouse and inventory areas, including shelves, storage locations, and shipping/receiving zones. You will use technologies such as NetSuite, SAP, RF scanners, and Microsoft Office, along with standard material handling and packaging equipment. Work focuses on order and receiving activities, open order and quote reporting, and maintaining outbound shipping accuracy and turnaround. Pay and Benefits

The pay range for this position is $35000.00 - $40000.00/yr.
