Client Service Coordinator

A professional services organization is seeking a polished, service-oriented professional to support its front-of-house and workplace operations. This role will serve as a key point of contact for visitors, callers, attorneys, employees, vendors, and building partners while coordinating meeting rooms, conference calls, and event logistics. The ideal candidate will bring strong customer service skills, excellent professionalism, and the ability to remain composed while managing multiple requests in a fast-paced environment. Law firm experience and switchboard experience are strongly preferred. Key Responsibilities Welcome clients, visitors, and other guests in a professional and courteous manner. Operate the firm's phone system and ensure incoming calls are answered promptly and routed appropriately. Manage visitor check-in, including preparing visitor badges and notifying appropriate employees of arrivals. Coordinate conference calls and teleconferencing arrangements, including confirmations and meeting communications. Manage meeting and conference room reservations through the applicable scheduling system. Confirm meeting details with hosts and follow up to ensure rooms and arrangements are properly prepared. Conduct floor and conference-room checks before meetings to verify that rooms are properly configured and equipped. Coordinate requests with internal workplace, food service, facilities, media/AV, and building management teams. Assist with meeting and event logistics, including ensuring appropriate equipment and amenities are available. Communicate professionally with attorneys, employees, clients, vendors, and other stakeholders. Provide additional administrative and workplace support as assigned. #J-18808-Ljbffr Madison-Davis, LLC
