Controls Specialist

PROCEDEO Group is seeking a Controls Specialist in the Dallas‑Fort Worth area. This in‑office role is responsible for managing project financials and contract processes for construction and design teams, including tracking budgets, reviewing invoices and change orders, overseeing vendor and consultant contracts, and supporting project closeouts. The Controls Specialist works closely with project teams and stakeholders to ensure financial accuracy, compliance with company standards, and timely completion of all project documentation and requirements. Key Responsibilities Serve as the primary point of contact for managing all aspects of project closeouts, ensuring all final documentation is properly submitted, tracked, and archived. Support and help lead the closeout process, ensuring all required documentation is completed and submitted. Act as the primary point of contact for third‑party contracts, overseeing the review, negotiation, and execution of contracts related to construction and design services. Facilitate the transfer of final project records to stakeholders, ensuring all compliance and regulatory requirements are met during closeout. Provide construction support by assisting project teams with coordination and organization of documents such as submittals, RFIs, change orders, and project schedules. Facilitate communication and coordination between construction teams, design teams, and subcontractors to support smooth operations and timely issue resolution. Assist in monitoring construction progress and support project teams by managing documentation of key milestones, ensuring records are accurate and up to date in the document management system. Communicate effectively and provide high‑quality customer service to staff, vendors, contractors, and stakeholders. Respond promptly to inquiries related to closeouts, construction support, and associated processes. Maintain and adhere to ethical business practices. Perform other duties as assigned. Qualifications Bachelor’s degree in Accounting, Finance, Construction Management, or a related field (or equivalent work experience). 3+ years of experience in cost controls, accounts payable, or construction project accounting, preferably within K‑12 public education or other public sector construction environments. Proficiency in project management and financial software such as Procore, DocuSign, and accounting systems; experience with Egnyte is a plus. Strong attention to detail with the ability to review, analyze, and reconcile complex financial documents and invoices, including those tied to K‑12 capital improvement programs. Excellent communication and organizational skills, with the ability to manage multiple priorities and collaborate with cross‑functional teams in a K‑12 or public sector project environment.
