Position Summary

The Medical Receptionist serves as the first point of contact for patients and visitors and provides courteous, efficient administrative support to the healthcare team. This position manages front-desk operations, coordinates appointments, maintains accurate patient information, and helps ensure a smooth, professional patient experience while protecting confidential health information.

Essential Duties and Responsibilities:

• Greet patients and visitors promptly, professionally, and respectfully.
• Answer, screen, and route telephone calls; take accurate messages and respond to routine questions.
• Schedule, confirm, reschedule, and cancel appointments according to provider’s availability and office procedures.
• Register patients and verify demographic, contact, insurance, and referral information.
• Assist patients with intake forms and other required paperwork.
• Check patients in and out, collect copayments and balances, issue receipts, and document transactions accurately.
• Maintain and update electronic health records and other office files with close attention to accuracy and confidentiality.
• Notify clinical staff of patient arrivals and coordinate front-desk activities to support efficient patient flow.
• Route clinical questions and urgent concerns to the appropriate licensed staff member in accordance with established procedures.
• Process incoming and outgoing correspondence, faxes, records requests, and referrals as assigned.
• Follow office policies, privacy requirements, safety procedures, and applicable healthcare regulations.

Required Qualifications:

• High school diploma or equivalent.
• Customer service, reception, or administrative experience.
• Strong verbal and written communication skills.
• Basic proficiency with Microsoft Office, computers, email, and data entry.
• Ability to maintain confidentiality and handle sensitive information with discretion.

Preferred Qualifications:

• Previous experience in a medical office, clinic, imaging center, or other healthcare setting.
• Familiarity with medical terminology, electronic health record systems, insurance verification, referrals, and payment collection.
• Knowledge of patient privacy practices and front-office healthcare workflows.

Work Expectations

This position requires regular interaction with patients, families, providers, and coworkers. The employee must be able to work on a computer and telephone for extended periods, communicate clearly, and remain composed while managing competing priorities.
