Job Summary

The Medical Assistant is a fast-paced position that is often the first and last clinical point of contact between the patients and practice. This position operates as an integral member of the Clinical Team and members are expected to function as a cohesive unit. This role owns the responsibility of keeping clinical spaces welcoming and safe, daily clinical flow, ensuring quality and pleasant interactions, enabling direct patient care, and patient coordination between departments. The overall responsibility of the Medical Assistant is to provide daily clinical support for staff, patients, and providers. This job description includes duties, responsibilities, and the expectations associated with Medical Assistant I through III.

Duties and Responsibilities

  Outward Facing & Patient Responsibilities

·        Positive Presentation – Welcome, greet, room patients, treat, and present patients to providers ensuring positive interactions

·        Communication – Clear, concise, timely, and polite communications with patients and visitors in person and on the phone

·        Capture Information – Obtain and document appropriate information from patients (medical records, charting, histories, etc.)

·        Process Information – Process patient and visitor information by following procedures and protocols (faxes, auths, etc.)

·        Routing – Route patients and visitors to the correct department through helpful information, task initiation, etc.,

·        Educate & Set Expectations – Properly educate and set expectation with all patients (pre and post procedure, RX, timing, etc)

Inward Facing & Office Responsibilities

·        Positive Attitude & Professionalism – Function as an effective team member

·        Flow – Manage clinical flow via scheduling, prioritization, and informing appropriate staff of arrivals

·        Coordination – Efficiently coordinate clinical needs with providers and patients (RX’s, auths, follow provider orders, etc.)

·        Communication – Clearly communicate with practice staff when coordinating

·        Prioritization – Prioritize daily activities to efficiently handle essential matters, such as changes to the schedule

·        Accuracy – Ensure patient records are accurate and complete

·        Positive Environment – Monitor, maintain, and organize all clinical rooms for comfort, safety, and compliance

Duties

·        Insurance – Understand and explain insurance benefit information to patients pre and post procedure.

·        Charting & Scribing – Perform charting & scribing duties including notes, data entry, pictures, labeling, etc.

·        Triage – Perform triage duties including call backs, explanations, documentation of triage, coordination with providers, etc.

·        Inbound Phone Calls – Receive inbound calls efficiently, professionally, and accurately

·        Outbound Phone Calls – Perform outbound calls efficiently, professionally, and accurately

·        Procedure Prep – Prepare medical and cosmetic procedures by following documented procedures and protocols

·        Basic Procedure Assistance – Assist providers in basic medical and cosmetic procedures such as biopsies and Botox

·        Skilled Procedure Assistance – Assist providers in advanced medical and cosmetic procedures such as flaps and CO2 laser

·        Basic Patient Care Procedures – Perform suture removals, skin tag removals, wound care, injections, and other procedures competently and professionally.

·        Mohs Procedure Assistance – Assist Mohs surgeon in Mohs surgical procedures

·        Processing Paperwork – Perform processing duties including faxes, medical records, labs, path, etc.

·        RX Management – RX duties including call backs, alternatives, pricing, counseling, documenting, etc.

·        Pathology Management – Pathology duties including processing, specimen management, log call backs, results, etc.

·        Labs Management – Lab duties including processing, specimen management, log call backs, results, etc.

·        Inventory – Perform inventory duties including receiving, PO prep, ordering, inventory counting, etc.

·        Clinical Preparation – Prepare for clinic in advance, such as prepping trays, sanitation, drawing up materials, etc.,

·        Light Therapy Clinic – Provide and management lightbox and Excimer therapy through documented procedures and policies

·        Task Management – Complete assigned tasks and coordinate with managers where needed

·        Escalation – Escalate matters of concern, patient needs, or responsibilities to management as appropriate

·        Assigned Duties & Projects – Complete specific assigned duties as assigned
