As the Events Specialist aligned to Insight’s tradeshow events team, you’ll support the planning and execution of high-impact industry and partner tradeshow events on time and within budget. This includes Insight’s participation in third-party conferences, partner-sponsored events, industry tradeshows, booth experiences, client-facing activations, networking events, ancillary meetings, and related onsite programs. In this role, you’ll partner closely with the Tradeshow Events Manager, marketing stakeholders, sales teams, alliance partners, vendors, and cross-functional teams to support event goals, messaging, attendee engagement, logistics, budget tracking, and post-event follow-through while delivering polished and consistent brand experiences.

What you’ll do at Insight: 

• Support the planning and execution of industry and partner tradeshow events, including third-party conferences, partner-sponsored events, booth activations, client-facing experiences, networking receptions, and ancillary meetings. 
• Meet with the Tradeshow Events Manager, marketing stakeholders, sales leaders, alliance partners, and cross-functional teams to understand event goals, audience needs, partner requirements, key messages, desired outcomes, timelines, and budget requirements. 
• Outline and manage event timelines, milestones, project plans, deliverables, and key decision points from planning through post-event wrap-up. 
• Manage tradeshow logistics, including event registration, booth services, exhibitor portals, sponsorship deliverables, hotel room blocks, attendee communications, shipping, lead retrieval, onsite materials, giveaways, staffing schedules, food and beverage, AV, transportation, and event supplies. 
• Review and coordinate event-related contracts, sponsorship agreements, exhibitor packages, statements of work, and vendor agreements in partnership with the Tradeshow Events Manager and appropriate internal teams. 
• Work with third-party partners, including show organizers, exhibit houses, general contractors, hotels, venues, event agencies, production partners, transportation companies, and booth services teams where appropriate. 
• Support tradeshow experience planning by coordinating booth needs, sponsorship assets, speaking session logistics, partner deliverables, meeting spaces, demo requirements, lead capture processes, attendee engagement opportunities, gifting, and executive/VIP needs. 
• Build registration pages and manage event registration needs, including attendee lists, invitation updates, RSVP tracking, hotel or badge details, staff registration, meeting requests, lead retrieval setup, and event reporting. 
• Submit creative and marketing requests related to tradeshow needs and provide clear updates and direction for booth graphics, sponsorship assets, signage, digital listings, attendee communications, social promotion, PR, and other marketing deliverables. 
• Communicate regularly with event stakeholders, sales teams, alliance partners, planning committees, vendors, and cross-functional partners to ensure alignment on messaging, attendee experience, logistics, sponsorship deliverables, and onsite needs. 
• Coordinate and indirectly manage booth staff, onsite support teams, volunteers, or field team participants assisting with the event; ensure they have schedules, role clarity, training, lead capture guidance, and event-day direction. 
• Support event budgets by tracking expenses and investment throughout the planning process, reconciling actual costs post-event, submitting invoices for payment, managing credit card postings, and supporting budget tracking, accruals, and reporting. 
• Support post-event debriefs by capturing lessons learned, attendee and stakeholder feedback, lead and engagement insights, performance reporting inputs, and recommendations for improving future industry and partner tradeshow events. 

What you’ll need to join Insight:

• A drive to deliver exceptional tradeshow experiences and a go-getter mentality when managing multiple priorities, stakeholders, partners, vendors, and programs at one time. 
• Minimum of 3-5 years of related experience supporting corporate events, industry tradeshows, partner events, conferences, field marketing programs, client-facing activations, or other B2B event experiences. 
• Experience with tradeshow planning, exhibitor portals, sponsorship deliverables, booth services, hotel and venue management, exhibit house coordination, production partners, and onsite event logistics preferred. 
• Strong understanding of attendee experience, booth operations, onsite staffing, sponsorship execution, lead capture, meeting coordination, run-of-show planning, executive/VIP logistics, and post-event follow-through. 
• Ability to manage multiple stakeholders, shifting priorities, detailed timelines, partner requirements, vendor relationships, and complex tradeshow logistics with a high level of organization and professionalism. 
• Bachelor's degree from a four-year college or university preferred; or related event, marketing, hospitality, or corporate meeting experience and/or training; or equivalent combination of education and experience. 
• Asana and Cvent knowledge not required but is a plus.
