Event Coordinator
Lawn Club is an exciting competitive socializing destination in the Seaport, positioning itself as "New York's Leisure Headquarters." The massive 25,000 square foot venue features indoor and outdoor rentable gaming lawns, amazing cocktails, and a streamlined menu of tasty bites. Each rentable lawn includes popular lawn games, big-screen TVs, courtside F&B service, and dedicated "Lawncierges." Lawn Club caters to a variety of audiences, from twenty-somethings to corporate event planners.
The Impact You'll Make | Essential Responsibilities
- Answer any general event-related questions from clients and guests via phone and email
- Speak to availability and next steps for bookings with clients and guests
- Schedule meetings for Event Sales Managers
- Manage event calendars
- Provide excellent administrative services for the Events department by recording event data, assisting with planning, preparing BEOs and other correspondence
- Manage all incoming leads via website, phone, email, and other channels - and actively move the business through the sales process
- Answer all leads within 1 hour of receiving
- Perform first and second lead follow-ups and manage all lead tasks
- Assign Event Sales Managers to leads and loop in Event Sales Managers in lead discussions when appropriate
- Enter all incoming event inquiries into Tripleseat
- Reconcile and close event checks
- Assist with venue tours as needed
- Take detailed notes in all BEO meetings, adding sales team action items for the Event Sales Managers or sales assistant, adding tasks for Event Sales Managers or sales assistant postmeeting, adding ops team action items, and following up with ops team action items.
- Detail BEOs as needed and answer any general questions
- Manage seasonal menu updates
- Support event inquiries and event-related tasks
- Assist with greeting clients before and during events as needed
- Assist with client items on-site, including receiving, inventory, set up and breakdown
- Provide on-site event support for events as needed
- Add Out of Office email responses for the Events team as needed
- Follow all company policies, procedures, and guidelines
- Operate ethically to protect the assets and image of the company
- Perform other duties and responsibilities as needed
About You! | Knowledge, Experience and Skills
- Minimum two years of experience in guest relations or customer service roles, preferably in the entertainment or restaurant industry
- Minimum of two years event-related experience preferred
- Associate or bachelor's degree preferred
- Proficiency in Microsoft Office applications
- Proficiency in Tripleseat or other CRM platforms
- Proficiency in Toast or other POS platforms
- Proficiency in Seven Rooms or other reservation platforms
- Exceptional phone etiquette and professional communication skills, both verbal and written
- Ability to produce a substantial quantity of high-quality work efficiently in an environment with multiple priorities and events happening in rapid succession; time management is essential
- Enthusiastic and outgoing demeanor coupled with a customer-focused approach
- Strong experience in upholding guest service and hospitality standards
- Strong work ethic and customer-focused approach
- Ability to handle guest requests, complaints, and concerns in an efficient, calm, and genuine manner
- Ability to work independently and collaboratively in a fast-paced setting
- Effective and eloquent communicator, both verbal & written, across all levels of the organization
- Ability to work a flexible schedule including days, nights, weekends, and holidays
- Must be passionate, entrepreneurial, and dedicated to success
Physical Requirements
- Ability to perform the essential job functions consistently, safely and successfully with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards
- Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards
- Ability to stand for prolonged periods of time
- Moving about on foot to accomplish tasks, particularly frequent movements from place to place within the store
- Bend, lift, carry, reach/extend arms, and hands above shoulder height frequently, or otherwise move in a constantly changing environment
- Climbing steps regularly
Compensation: $28 - $30 per hour
