Job Description:\n\n The Hardware-Centric IT Asset Management contractor is a hands-on operational role dedicated to\n \n\n ensuring Milwaukee County has a complete, accurate, and continuously validated inventory of all\n \n\n physical technology assets. This position focuses primarily on field verification, device tracking, hardware\n \n\n lifecycle processes, inventory processes and ensuring that what exists physically across County facilities is\n \n\n fully and precisely represented in ManageEngine ServiceDesk Plus (SDP) and the CMDB.\n \n\n The contractor works closely with the Service Operations Manager and team, Business Analysts, Security\n \n\n team, and Infrastructure teams to maintain disciplined stewardship of desktops, laptops, tablets,\n \n\n printers, POS equipment, networking devices, specialized operational hardware, and other embedded\n \n\n digital systems.\n \n\n Strategic intent:\n \n\n This hardware-centric position establishes the physical foundation for a mature, accurate, and\n \n\n automated IT Asset Management program. Through detailed fieldwork—tracking, validating, tagging,\n \n\n reconciling, and monitoring hardware across County facilities—the contractor strengthens the CMDB,\n \n\n reduces operational risk, improves troubleshooting efficiency, and supports cost-optimized lifecycle\n \n\n decisions.\n \n\n Ultimately, this role ensures that every physical technology asset in Milwaukee County is known, verified,\n \n\n properly maintained, and strategically managed.\n \n\n Core Responsibilities\n \n\n 1. Hardware Discovery, Validation & Reconciliation\n \n\n • Conduct physical walkthroughs across County offices, departments, and remote sites to locate,\n \n\n inspect, and validate IT hardware.\n \n\n • Confirm asset tags, serial numbers, physical condition, hardware model, and specific device\n \n\n configurations.\n \n\n • Reconcile differences between physical hardware and CMDB records; correct inaccuracies and\n \n\n update missing relationships.\n \n\n • Inventory reconcilliation: Execute periodic (weekly/monthly) data reconcilliation processes to\n \n\n compare CMDB asset records against active network discovery, cloud management, and\n \n\n endpoint tools.\n \n\n • Identify systemic flaws in automated discovery or manual data entry workflows and propose\n \n\n permanent fixes to prevent future inventory drift.\n \n\n • Identify and document orphaned, misplaced, untagged, or non-standard devices.\n \n\n • Analyze mismatched data points – such as ghost assets, missing serial numbers, incorrect\n \n\n lifecycle statuses, and trace their root cause\n \n\n • Work with IT and department personnel to assign financial charge code information to each\n \n\n asset.\n \n\n 2. Field-Based Hardware Tracking & Placement Accuracy\n \n\n • Maintain real-time accuracy regarding where each device is physically located—desk, room,\n \n\n building, or operational zone.\n \n\n • Work directly with site technicians, supervisors, and departmental contacts to confirm hardware\n \n\n placement changes and promote on-going asset management practices\n \n\n • Monitor and document equipment movement during relocations, renovations, department\n \n\n moves, and lifecycle refresh activities.\n \n\n 3. Device Lifecycle & Hands-On Processing\n \n\n • Support the full lifecycle of physical IT hardware, including receiving, tagging, imaging\n \n\n assistance, prep for deployment, and retirement.\n \n\n • Perform intake verification on new hardware shipments—matching POs, confirming specs,\n \n\n ensuring standard compliance.\n \n\n • Capture warranty status, purchase dates, age, and condition within the asset system of record to\n \n\n support refresh and budgeting decisions.\n \n\n • Coordinate secure packaging and transport of devices scheduled for repair, return, or disposal.\n \n\n 4. CMDB Accuracy for Hardware Relationships\n \n\n • Ensure the CMDB reflects correct associations between physical hardware and:\n \n\n o assigned users\n \n\n o business units\n \n\n o network segments\n \n\n o installed software\n \n\n o tickets, incidents, and changes\n \n\n • Validate that physical asset roles (workstation, kiosk, POS terminal, mobile device, peripheral)\n \n\n are correctly represented.\n \n\n 5. Department Engagement for Hardware Awareness\n \n\n • Build consistent communication channels with County departments to understand:\n \n\n o what hardware they use\n \n\n o where it is deployed\n \n\n o how it supports their operations\n \n\n o what changes or upgrades are planned\n \n\n • Identify operational impacts of outdated, damaged, or insufficient hardware.\n \n\n 6.
