SUMMARY

Manages one or more properties by performing the following duties personally or through others.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Annual Management Plan:

Assist Regional Property Manager and/or Regional Director with the preparation of the annual management plan and budget for assigned property with the established goals and objectives of the owner.

Project Operations:

Responsible for the day-to-day operations and maintenance of assigned properties.

Ensure property is covered by someone who is knowledgeable of Employer emergency procedures, vendors to contact and location of all Community utilities systems. Community Managers may receive after-hour calls to handle emergency issues at the community.

• Maintain telephone reception at park office. Answer phones daily and timely.
• Conduct daily property tours
• Distribute rent statements, newsletters, and notices.
• Collect monthly rents, late fees, and NSF charges.
• Keep track of rent rolls for corporate office and park billing.
• Make bank deposits at the end of each rent collection day.
• Prepare and serve all legal notices, e.g., 3 & 60-day intents, 7-day and 14-day notices.
• Keep a log of all complaints and incidents.
• Prepare variance, vacancy, delinquency, and adjustment reports.
• Prepare all administrative reports (resident files, rent increases, new move-ins, move-outs, evictions, etc.) on approved Community forms and submit them to the corporate office.
• Maintain petty cash funds. Submit Petty Cash Recap report with receipts to corporate office monthly.
• Enforce community rules & regulations.
• Responsible for enforcement of safety, health, and aesthetics violations. Issue Friendly Reminders,7 day and 14-day notices.
• Audit resident files and CARE report
• Maintain an Emergency Operating Manual for all work performed in park and all workers safety logs.
• Be familiar with, understand, and comply with all laws and regulations relating to management and operation of the property.
• Advise Regional Manager on any issues to ensure orderly and efficient operations.
• Conduct annual lot inspections to ensure professional standards of property conditions are maintained to increase long term property value and to prevent potential insurance risks.
• Receive and properly direct claims, incident reports, and assist in legal proceedings.
• Review adequacy of insurance coverage annually with Corporate Risk Manager and client.
• Conduct monthly on-site OSHA meetings and submit paperwork to the Regional Director.

Office Duties:

Prepare and submit to accounting resident set-up, move-in, move-out and other accounting forms timely. Ensure protection of files and records.

• Keep office scheduled hours.
• Maintain inventory of supplies and materials (forms, stationary, stamps, etc.) for the purpose of ensuring items' availability.
• Maintain office equipment.
• Review and approve timecards in Paychex.
• Review and approve mileage expenses. Submit reports to the corporate office monthly.
• Code and review invoices for approval.
• Track community vacancies.
• Screen and verify all new resident applicants and submit them to the corporate office.
• Track home sales and stay informed of local rent.
• Organize park-sponsored resident functions.
• Prepare and maintain a variety of records and reports related to projects, employees and assigned activities.
• Prepare variance analysis, resident delinquency update, and other property required reports.
• Conduct lease signings forward executed leases to residents.

Emergency Procedures and Grounds Supervision:

• Correct health and safety violations immediately.
• Maintain current and accurate safety information manuals.
• Establish and maintain timelines for maintenance and general maintenance projects and activities.
• Compile and prepare cost estimates and ensure adequate levels of equipment and supplies, e.g., water meters, paint, light bulbs.
• Oversee and participate in the installation, repair and replacement of various parts and components.
• Monitor progress of maintenance, and general maintenance and repair projects.

Resident Relations:

• Provide timely and professional responses to resident requests.
• Establish and monitor a follow-up review of the response to resident requests and objections.
• Prepare resident newsletters to promote goodwill and provide valuable information to the residents.
• Coordinate an active resident relations program.

Partner/Client Relations and Reporting:

• Distribute and collect Income Surveys from all residents annually; perform follow-up with residents, as directed or required, to ensure project completion.
• Participate in periodic conference calls with Caritas Executive Director and Director of Resident Relations.
• Prepare materials and presentations, as requested, for owners' meetings and property reviews.
• Attending appropriate events with owners when requested to promote goodwill and to strengthen relationships.
• Able to establish and maintain working relationships with co-workers, vendors, community residents and their guests in a courteous and responsible manner
• Able to accept constructive criticism

Resident Improvements/Capital Improvements and Repairs:

• Coordinate all resident improvements, capital improvements and capital repairs conducted on assigned properties.
• Oversee entire bid process from obtaining three bids to award of contract. Obtain contractor, owner, or owner's agent signatures when required.
• Supervise improvements, required change orders, track job costs, obtain approval where needed for additional work, and bill residents when appropriate.
• On all requests for construction, ensure adequacy of plans, verify contractors and contractors' insurance. Obtain construction approval agreements and permits. Inspect premises during construction.

Personnel Management/Development (if applicable):

• Implement goals and objectives within sixty (60) days of hire for all new subordinate personnel on assigned properties.
• Review employees' performance and salary annually in cooperation with the Regional Property Manager.
• Supervise existing staff and contractors.
• Provide assistance, as requested by the Regional Property Manager or Regional Director with regional personnel and property issues.
• Approve timecards, overtime, vacation, sick and personal leaves in Paychex.
• Conduct staff meetings no less than twice per month.
• Hire new personnel as needed and approved.

Special Projects:

Participate in special projects periodically assigned by the Regional Property Manager or Regional Director.

Personal/Professional Development:

Continually develop and enhance professional skills and credentials by participating in any real estate organization, professional seminars, or associations.

SUPERVISORY RESPONSIBILITIES

Directly supervise employees on assigned properties. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Conducts staff meetings at least twice a month.

EDUCATION and/or EXPERIENCE

High School Diploma or GED required; bachelor’s degree or equivalent community college degree (AA) preferred; a minimum of three (3) years’ experience at the Property Manager level and at least five (5) years in the property management industry, or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. The ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS

MCM designation (from the WMA) preferred

Computer Skills - Microsoft 365: Word Processing: Word (Intermediate), Spreadsheet Software: Excel.

Software – MRI, Yardi
