recruiting for full-time Office Assistant 3 located in
Anchorage Alaska.


What You Will Be Doing
As an Office Assistant 3 you will provide a full range of clerical and receptionist services playing a vital role in the workflow of the office which greatly contributes to our mission of strengthening Alaskas families and children. This position works specifically with the Team Decision Making (TDM) Unit and involves coordinating scheduling and noticing for these specialized meetings. Coordination involves communication with community providers Tribes and other State departments. You will perform a range of duties including complex data entry creating and maintaining files and records and back up support for other assigned administrative duties.

Working Environment You Can Expect
This position is located in the Anchorage Regional Office on the corner of Tudor and C Street within walking distance to amenities and restaurants. Join our team as we partner with community members to establish safe and stable homes for vulnerable children and youth needing temporary or permanent care. We Are Seeking a Candidate with the Following Competencies:
  1. Clerical: Applies knowledge of clerical equipment and software processes techniques and professional standards to complete routine office work to generally accepted professional standards. Completes work independently with minimal supervision. Uses skills and abilities to complete tasks consisting of many different and connected parts including deciding which processes to use.

  2. Computer Skills: Uses computers software applications databases and automated systems to accomplish work.

  3. Customer Service:(*) Works with clients and customers (that is any individuals who use or receive the services or products that your work unit produces including the general public individuals who work in the agency other agencies or organizations outside State government) to assess their needs provide information or assistance resolve their problems or satisfy their expectations; knows about available products and services; is committed to providing quality products and services.

  4. Reading: Understands and interprets written material including technical material rules regulations instructions reports charts graphs or tables; applies what is learned from written material to specific situations.

  5. Oral Communication:(*) Expresses information (for example ideas or facts) to individuals or groups effectively taking into account the audience and nature of the information (for example technical sensitive controversial); makes clear and convincing oral presentations; listens to others attends to nonverbal cues and responds appropriately

Special Note

  • All positions require a successful completion of a background investigation including fingerprinting and a criminal records check.

  • Additionally while the Division does have vehicles assigned to it they may not always be available for staff use. Mileage reimbursement is available when a personal vehicle is used for work-related matters. Current automotive insurance must be in place prior to use of a personal vehicle while conducting business on behalf of the State.

    • The successful candidate may be required to attend multiple training courses normally located in Anchorage.

High school diploma or the equivalent.
AND
One year of experience that includes clerical tasks such as performing reception duties answering routine questions on services or products retrieving information from electronic or hard copy files recording expenditures and receipts or typing routine correspondence.

Substitution:
Education from an accredited college may substitute for six months of the required experience (3 semester hours or 4 quarter hours equal one month of experience; 150 hours of vocational education equal one month of experience).

Special Note:
High school diploma equivalent means one of the following: 1) a G.E.D.; 2) completion of any basic adult education course equivalent to 480 class hours (16 weeks at 30 course hours per week); 3) acceptance in full standing by an accredited college or university; 4) highest grade of school completed plus an amount of paid or volunteer experience that totals 12 years and includes basic clerical tasks such as greeting clients answering phones typing filing sorting mail entering data receiving payments making change or maintaining logs.

Some positions in this class may require the incumbent to operate motor vehicles. Such positions require that the applicant possess a regular drivers license and be 18 years of age or older.

Some positions in this class may require skill in typing. Recruitment and selection may include this requirement.

  • A list of three (3) professional* references including daytime telephone numbers and email address; at least two (2) of these must be from a current or former supervisor.

WORK EXPERIENCE
