A well-established, San Jose–based real estate development and construction company is looking for an Executive Operations Partner to work hand-in-hand with its CEO. This is a high-trust, high-impact seat that blends top-tier executive support with real operational ownership, and it is built for someone who wants to grow with one organization for the long haul.

Over time, this role is expected to evolve into a Chief of Staff–level position with expanded strategic and operational scope.

Location: 100% on-site in San Jose, CA. Local San Francisco Bay Area candidates only; relocation is not offered.

What Your Days Will Look LikeRunning the CEO's Office

• Own the CEO's calendar, inbox, and priorities so their time goes to what matters most
• Get the CEO ready for every meeting with agendas, briefing notes, background research, and presentation materials
• Capture decisions and action items and follow up until they are closed out
• Write and manage correspondence on the CEO's behalf with a polished, professional voice
• Plan travel, events, and logistics with little to no oversight
• Keep sensitive business, financial, and people matters strictly confidential

Driving Operations

• Serve as a second set of eyes on contracts, agreements, and key documents, flagging risks, missing terms, and critical dates
• Keep company initiatives on track and hold teams accountable to commitments
• Connect the dots between development, construction, operations, accounting, and leadership
• Build and maintain executive reports, dashboards, and operating summaries
• Run the leadership team's meeting cadence and planning sessions (EOS or a similar operating system is a plus)
• Take ownership of special projects from kickoff through completion

Building for the Future

• Bring fresh ideas to how the CEO's office works, including AI tools, automation, and smarter systems
• Support company-wide planning and help track progress against organizational goals
• Take on growing strategic responsibility as the role develops toward Chief of Staff

Requirements

• 10+ years in executive support or executive operations, with at least 5 years partnering directly with a CEO, President, or Founder
• Background in real estate, construction, development, or property management strongly preferred; family office, private equity, or investment experience also a plus
• A track record of long tenures and staying power; this company is hiring for the long term
• Confidence reviewing contracts and business documents, with a sharp eye for detail
• Outstanding organization and the ability to juggle competing priorities without dropping the ball
• Clear, polished written and verbal communication
• Sound judgment, emotional intelligence, and absolute discretion
• Advanced Microsoft Office and/or Google Workspace skills; hands-on experience with AI and productivity tools a strong plus
• Currently based in the San Francisco Bay Area and able to work on-site full-time in San Jose
