Overview of Duties

• Create and maintain weekly delivery and pickup schedules, ensuring all details are accurate and consistent across company systems and communication channels.
• Assist the Production Coordinator with sending, receiving, and entering logistics forms for smaller jobs and delivery/pickup orders.
• Create employee shifts within the company's timekeeping application, monitor shift confirmations, and support the overall organization and efficiency of the scheduling process.
• Maintain and organize the Upcoming Job Details spreadsheet, Production Dropbox folders, department procedures, and other operational documents.
• Review and compile representative expense reports, ensuring compliance with company policies by verifying accuracy and following up with team members regarding discrepancies or missing information.
• Complete additional administrative, logistics, and special projects as assigned by the General Manager.
• This role is under the supervision of the General Manager

Qualifications

• Experience supporting production operations, event logistics, or project coordination.
• Strong organizational skills with exceptional attention to detail and quality control.
• Customer service experience with a commitment to providing excellent internal and external support.
• Excellent proofreading, editing, and document review skills to ensure accuracy and consistency.
• Ability to prioritize multiple tasks and work effectively in a collaborative, team-oriented environment.
• Strong time management, communication, and problem-solving skills.
• Proficiency with Microsoft Office or Google Workspace; experience with scheduling or timekeeping software is preferred.
• Previous experience in event rentals, event production, logistics, or a related industry is a plus.
