Position Summary

Under the sponsorship of Hamilton Madison House, the City Hall Older Adult Center (CHOAC) is one of the largest older adult centers in New York City. The Center provides nutritious meals, essential services, and diverse activities to older adults from neighborhoods across New York City. CHOAC serves as a model for delivering high-quality, high-volume, culturally and linguistically responsive programs and services, and enjoys strong public visibility and recognition.

The Assistant Activities Coordinator plays a vital role in ensuring the efficient and effective operation of the Center's programs and activities. Working closely with the Activities Coordinator, this position helps plan, coordinate, and implement activities that meet members' needs and support contractual program goals. The Assistant Activities Coordinator also provides support for the congregate meal program, membership registration and enrollment processes, volunteer coordination, and the preparation and submission of monthly reports.

This position reports directly to the Director of CHOAC and works under the supervision of both the Director and the Activities Coordinator.

Responsibilities

• Plan, organize, and facilitate health promotion, recreational, and cultural activities that highlight Chinese traditions and customs, including Chinese calligraphy, paper folding, traditional Chinese dance, and Chinese musical instruments, through both in-person and virtual programming.

• Teach Chinese music, including the Erhu, as well as classical and folk dance classes for older adults. Participate in rehearsals and performances with the Beijing Opera band, Chinese music orchestra, chorus, and Chinese dance groups.

• Coordinate the Center’s volunteer program, including volunteer recruitment, screening, orientation, training, scheduling, and supervision.

• Develop and implement new programs, workshops, support groups, trips, and special events that celebrate Chinese culture and promote cross-cultural understanding. Examples include visits to the Museum of Chinese in America, tea ceremony workshops, cultural performances, and celebrations of holidays such as Lunar New Year, the Dragon Boat Festival, Mid-Autumn Festival, Thanksgiving, and Christmas. Ensure these activities provide meaningful opportunities for member engagement, socialization, cultural appreciation, and community building.

• Prepare and distribute program flyers, newsletters, bulletin board displays, activity calendars, and other promotional materials. Maintain attendance records and documentation for all group activities and events.

• Complete daily data entry and assist with the preparation and submission of monthly reports to ensure compliance with contractual requirements. Collect, organize, and maintain participant sign-in sheets and enter required data into STARS.

• Provide administrative and programmatic support for Center activities and services, including annual client profile updates in PeerPlace.

• Collaborate closely with the Center’s Title V Program, interns, and Summer Youth Employment Program (SYEP) participants by providing guidance, support, and opportunities for engagement.

• Support community outreach efforts and partnership development by working with the CHOAC team to establish, maintain, and expand relationships with community-based organizations, civic groups, cultural institutions, and other stakeholders. Represent the Center at community events and maintain a visible presence in the community.

• Attend staff meetings, professional development trainings, and other required organizational meetings.

• Perform other duties as assigned by the Director of CHOAC and the Activities Coordinator.

Qualifications :

• Bachelor’s degree in Human Services, Social Work, Gerontology, Recreation, Education, or a related field preferred; alternatively, a high school diploma or equivalent with substantial experience in social services, community programs, or older adult services.

• Demonstrated knowledge, skills, and experience in planning and facilitating a variety of recreational, educational, cultural, and wellness activities for diverse populations.

• Bilingual proficiency in Chinese (Cantonese and/or Mandarin) and English is required, with strong verbal and written communication skills.

• Warm, personable, and energetic with a genuine commitment to serving older adults. Demonstrated sensitivity to the needs, interests, and cultural backgrounds of older adults. Previous experience working with older adults is highly desirable.

• Highly organized and detail-oriented, with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment.

• Strong interpersonal skills and the ability to build and maintain collaborative relationships with staff, volunteers, community partners, and program participants.

• Proficient in Microsoft Office and other computer applications required for program administration and virtual programming. Willingness and ability to learn new software and technology platforms as needed.

• Demonstrated understanding and appreciation of diversity, equity, and inclusion, including the impact of race, religion, ethnicity, sexual orientation, gender identity, culture, and individual values on service delivery. Commitment to providing culturally responsive services and working effectively with a diverse population of older adults, volunteers, families, and staff.

Compensation :  $23 - $24 per hour, commensurate with qualifications, experience and skills

Hours :  Monday - Friday, 8:30AM - 4:30PM
