Ancillary Tech Program Lead, Primary Care & Dermatology

Overview The Supervisor, Ancillary Techs Program (Primary Care & Dermatology) will oversee medical assistance (MA) for Primary Care and Dermatology service lines, monitor staff, and provide operational expertise and direction. They are responsible for hiring, training and on-going management of staff including monitoring KPIs for productivity and efficiency and designing and executing standard operating procedures. This position partners closely with the Vice President of the Office of Medical Affairs (direct report) and the Director of Primary Care. The role collaborates routinely with providers in Primary Care and Dermatology, clinic/market operational leaders, Talent & Recruiting, People & Culture, Learning/Academy, Compliance, and other Medical Affairs leaders to ensure Medical Assistants are supported, scheduled appropriately, trained effectively, and operating to standard. Responsibilities 1. Staffing & Scheduling Develop and maintain MA schedules aligned to provider demand (≥60 days in advance). Ensure adequate daily MA staffing; proactively address gaps using PRN/on-call staff. Manage real-time coverage for callouts, absences, and schedule changes. Maintain and update PRN/on-call MA pool 2. Payroll & Administrative Oversight Manage MA payroll processes: timekeeping, PTO, overtime monitoring, and allocation accuracy. Ensure effective use of scheduling and payroll systems through training and oversight. 3. Interviews candidates for positions that report to this position as necessary. Conduct interviews with prospective candidates and coordinate provider involvement. Ensure completion and adherence of onboarding, training documentation, and required courses including competency validation. Conduct audits, workflow observations, and skills validations with corrective actions on gaps 4. Responsible for overseeing performance and any related counseling of positions that report to this position, up to and including recommendation for termination of employment. Coach, mentor, and manage MA performance, including annual performance review, ongoing feedback and corrective action when needed. Partner with People team on employee relations and disciplinary actions 5. Responsible for learning the aspects of compliance in the company by completing all mandatory compliance training. 6. Ensure adherence to objectives, operating policies and procedures, and strategic action plans for achieving goals. 7. Ensure consistent execution and adherence of core workflows, protocols and standards: rooming, documentation support, patient flow, and supply management. Establish and maintain communication protocols for issue reporting and escalation. 8. Motivates self and overall team and supports supervisors within team to create a positive, productive and efficient work environment supportive of our values while meeting and exceeding our company goals. 9. Leads by example, within team and as a result overall staff in attitude and work performance that represents our values. 10. Recognizes strong individual and team performance in support of our values and company goals. 11. Responsible for overseeing performance and any related counseling of positions that report to the Supervisor, Ancillary Techs position, up to and including recommendation for termination of employment. 12. Responsible for employees adhering to Standards of Operation, Core Values, and all other company policies. 13. Responsible for overseeing annual review process for positions that report to this position. 14. The ability to provide training to positions that report to this position on Company Standards of operations. 15. The ability to provide ongoing monitoring of standards by conducting standards testing on positions that report to this position. 16. The ability to perform the physical, use of senses, cognitive, and environmental functions of the position, as specified on the physical demands. 17. The ability to build and maintain confidence and credibility with all clients and employees. 18. The ability to maintain friendly, cordial relations with all clients and employees; maintain a positive work atmosphere by acting and communicating in a manner that results in a positive work relationship with customers, co-workers and managers. 19.
