Job Summary

Local company seeking a motivated, organized, and detail-oriented Billing Specialist to join our team. The ideal candidate will thrive in a fast-paced trucking environment, possess excellent communication skills, and have the ability to multitask while maintaining accuracy. This position is responsible for customer billing, load coordination support, permit coordination, IFTA support, office administration, and maintaining accurate records while providing outstanding customer service.

Essential Duties & Responsibilities

• Prepare and process customer invoices accurately and in a timely manner.

• Answer incoming phone calls professionally and assist customers, drivers, and vendors.

• Provide exceptional customer service by responding promptly to customer inquiries and assisting with their transportation needs.

• Build and maintain positive relationships through effective communication with customers, drivers, and vendors.

• Assist with tracking and managing customer loads from dispatch through completion, ensuring accurate documentation and timely updates.

• Assist with loads that have been bid, monitor their progress, and communicate with customers regarding shipment status as needed.

• Work closely with the operations team to ensure loads are completed efficiently and customer expectations are met.

• Work as a team player and communicate effectively with office staff, drivers, and management.

• Be willing to ask questions, take initiative, and adapt to changing priorities.

• Demonstrate the ability to multitask and prioritize responsibilities in a fast-paced environment.

• Assist with IFTA reporting and the preparation and payment of IFTA fuel taxes.

• Order and coordinate permits, including single-trip and oversize/overweight load permits .

• Calculate driver mileage from trip reports.

• Calculate state fuel surcharges based on current fuel index rates and the states traveled.

• Document and photograph all incoming and outgoing trucks, trailers, equipment, and company assets.

• Accept and process payments Software for Credit Card Machine

• Scan, print, copy, email, and organize company documents.

• Maintain organized filing systems for invoices, permits, customer records, and transportation documents.

• Perform accurate data entry and maintain organized records.

• Assist with additional administrative and office duties as assigned.

Qualifications

• High school diploma or GED required.

• Previous experience in trucking, transportation, logistics, dispatch, or billing preferred.

• Knowledge of IFTA regulations and fuel tax reporting is preferred.

• Familiarity with trucking permits and oversize load permitting is a plus.

• Proficient in Microsoft Office (Excel, Word, Outlook).

• Strong organizational, time management, and multitasking skills.

• Excellent attention to detail and accuracy.

• Outstanding verbal and written communication skills.

• Strong customer service and problem-solving abilities.

• Ability to work independently while contributing to a team environment.

• Professional, dependable, and willing to learn.

Preferred Skills

• Experience with trucking billing and invoicing.

• Experience assisting with load tracking and customer communication.

• Knowledge of transportation documentation and compliance.

• Strong organizational and filing skills.

• Ability to prioritize multiple tasks and meet deadlines.
