Logistics and Inventory Supervisor

The Logistics & Inventory Supervisor keeps an accurate, current picture of what materials and finished products are on site, where they are stored, and what must arrive or leave next. The role connects the factory's production plan with receiving activity, inventory records, carrier bookings, loading documentation, yard space, and project delivery commitments. Reporting to the Director of Manufacturing, the majority of the Supervisor's time is spent organizing the work of the logistics and inventory support team, checking records, maintaining shipment and inventory schedules, resolving exceptions, and communicating with other departments. The Supervisor provides drivers, forklift operators, and yard staff the information needed for individual loads and material movements.

KEY RESPONSIBILITIES

Daily Workflow & Team Support Maintain the factory's two- to three-week logistics calendar by bringing together planned production completions, confirmed carrier bookings, expected material receipts, project delivery dates, and available storage locations. Check that transactions, count sheets, shipment packages, photographs, and schedule changes have been completed and stored in the correct location before deadlines are closed out. Divide administrative follow-up among employees responsible for receiving records, inventory entries, shipping paperwork, delivery scheduling, and finished-product tracking. Hold regular check-ins with logistics and inventory employees to address overdue items, clarify responsibilities, and keep work moving when priorities change. Show new team members how Paradigm uses SharePoint, inventory tools, bills of lading, storage maps, and internal communication channels, and provide follow-up support as they learn the role. Address repeated documentation errors, missed follow-ups, or knowledge gaps with the employee and bring significant performance concerns to the Director of Manufacturing. Give drivers, forklift operators, yard staff, and production leads the load-specific sequence, staging location, destination, and timing they need; direct staffing or equipment-operation concerns to the manager responsible for those employees. Outbound Shipments & Delivery Planning Confirm pickup and delivery timing with carriers and internal contacts, including less-than-truckload arrangements, and advise affected teams when a booking changes. Responsible in confirm ing that loads leaving have the listed product, quantity, destination, packaging, labels, and supporting records agree with the shipping request. Prepare bills of lading, packing lists, shipment labels, load photographs, and delivery records, and file the completed package in SharePoint. Follow shipments through delivery, record relevant freight costs, and work with the carrier or internal team when a pickup is missed, product is damaged, or delivery information is unclear. Keep production, customer service, and project contacts informed of shipment status, expected arrival, and any issue that could affect their schedule. Inventory Records, Storage & Yard Visibility Keep inventory and purchasing records current as materials are received, moved, issued to production, staged, shipped, or returned. Schedule routine counts in the warehouse and yard, compare physical quantities with system balances, and research differences before adjustments are made. Review stock on hand against upcoming production needs and notify Purchasing early when materials or supplies may run short. Maintain the inventory and yard maps so employees can identify the current location and status of stored materials and finished products. Set picking and staging priorities from the production and shipping schedules and confirm that materials are clearly identified before they are moved. Monitor storage conditions, stock rotation, and product identification to reduce damage, loss, weather exposure, or obsolete stock. Keep finished-product records, storage locations, planned delivery dates, and shipment status synchronized. Coordinate Vendor Managed Inventory (VMI) counts, replenishment information, and access controls with participating suppliers. Follow-up, Reporting & Process Reliability Prepare concise updates for the Director of Manufacturing on inventory accuracy, upcoming shipments, freight costs, overdue records, storage concerns, and unresolved exceptions. Trace the source of recurring variances, missing paperwork, carrier delays, or handoff problems and change the local workflow where a clearer control is needed. Keep the logistics and inventory procedures current when systems, forms, responsibilities, or factory processes change. Confirm that shipment, storage, and inventory practices follow Paradigm's safety, security, quality, and record-retention expectations, including applicable ISO controls. Report problems with inventory software, scanners, printers, or related logistics tools and follow through with IT, maintenance, or the service provider until the team can use them reliably.

SKILLS & QUALIFICATIONS

A diploma, certificate, or other post-secondary education related to supply chain, logistics, business operations, production, or manufacturing management; equivalent relevant training and experience may be considered. Demonstrated experience owning inventory accuracy and coordinating receiving, outbound shipments, storage, and delivery schedules in a warehouse or manufacturing environment. Experience guiding employees whose work involves records, schedules, shipping documents, inventory transactions, or other logistics support activities. Practical knowledge of bills of lading, inventory counts, stock rotation, carrier coordination, material staging, and finished-product storage. Comfort working in Microsoft Office, SharePoint, ERP or inventory systems, and learning new digital workflows. Clear written and verbal communication with production teams, suppliers, carriers, project contacts, and employees. Sound judgment when priorities conflict, information is incomplete, or a shipment or inventory issue requires an immediate decision. Consistent attention to detail and the ability to follow issues through to completion without losing sight of daily deadlines.

WORKING CONDITIONS

Work is performed primarily in a factory, warehouse, yard, and office environment, with exposure to varying temperatures, noise levels, moving equipment, and material-handling activities. The role requires regular standing and walking and may require lifting or moving materials weighing up to 50 lbs. Some out-of-town travel may be required to coordinate logistics activities. Flexibility may be required to respond to changing production, shipment, or delivery priorities.
