Job Details: Job Location: Painesville, OH 44077, Job Description Assistant Registrar – Advising Specialist Reports To: Registrar Status: Full-Time, Exempt, Salaried About Lake Erie College Lake Erie College, a small, co-educational, four-year, independent liberal arts college located in Painesville, OH, 30 miles east of Cleveland, invites applications for the full-time position of Assistant Registrar, Advising Specialist. Position Summary This Assistant Registrar position is responsible for providing comprehensive undergraduate academic monitoring and advising, serving as a Designated School Official, aiding in daily management of the Registrar’s Office activities and fostering the academic success of students at the college. RESPONSIBILITIES: Advises incoming freshman and undeclared majors. Maintains student advising records and oversees student registration. Maintains the advising module in Jenzabar EX and J1 Web. Coordinates the placement and waiver process. Assists faculty with the advising process. Manages new student record creation, auditing, and maintaining current and former student records. Serves as an institutional Designated School Official (DSO). Helps maintain audit-ready student records, process program changes, and report status updates through SEVIS under federal deadlines. Counsels F-1 students on course loads, reduced credit authorizations, practical training (CPT/OPT), and maintaining legal status. Reviews international financial documents and issue initial, transfer, and extension form I-20. Serves as a resource for campus departments regarding international student rules and federal guidelines from the Department of Homeland Security. Collaborates with Registrar for degree audit and degree tree maintenance. Assists with the coordination and implementation of academic ceremonies in collaboration with other office (e.g., commencements and Honors Convocation). Assists with new student orientation. Completes PTD (progress towards degree) checks. Assists the Registrar with policy and procedure development and data requests. Serves as an information resource for students, faculty and staff regarding college policies and procedures relative to academic advising. Ensures the integrity of the institution’s academic records. Ensures compliance with college policies and FERPA. Performs general office duties as needed, including supply ordering. Performs other duties as assigned by the Provost and the Registrar. Qualifications: Preferred Qualifications & Key Competencies Bachelor’s degree required; Master’s degree preferred. Experience in academic advising, teaching, counseling, student affairs, or a related student-support role. Experience working with high school and/or undergraduate students in an educational setting. Experience providing guidance on academic planning, degree requirements, student development, and educational or career decision-making. Experience using student information systems; experience with Jenzabar ispreferred. Demonstrated experience collaborating with academic and co-curricular departments tosupport student success. Experience advising international students and familiaritywith international studentimmigration regulationsand requirements. Knowledge of NCAAeligibility rules andregulations; experienceworking with student‑athletes is preferred. Growth and “doer” mindset and institutional teamwork ethic.
