About the Position

Pelican Bay Foundation is seeking a full-time Lifestyle Coordinator who will play a central role in enriching the member experience across all community amenities and programs. Reporting directly to the Lifestyle Manager, this position blends event planning, program coordination, member relations, and day-to-day operational support to deliver an exceptional and seamlessly curated community lifestyle.

They bring creativity and organizational discipline to every aspect of their work — from coordinating signature social events to managing facility reservations and serving as a knowledgeable, welcoming presence for members and guests alike.

What You'll Do

Reservations, Payments & Activity Administration

• Take reservations and process payments for activities, programs, events, and facility bookings using the community's point-of-sale (POS) system.
• Maintain accurate and detailed records of all reservations, attendance, and transactions; ensure all financial entries are recorded correctly.
• Communicate reservation changes, cancellations, or updates to the appropriate staff and stakeholders in a proactive and organized manner.
• Coordinate the weekly activities calendar; clearly communicate any special room setup needs to room setup staff in advance to ensure seamless execution.
• Manage the fulfillment of office supplies and toner; handle any copier and printer issues by coordinating with IT staff or external vendors to ensure timely resolution and minimal disruption to daily operations.

Event & Activity Coordination

• Assist the Lifestyle Manager in planning, coordinating, and executing meetings, socials, classes, and events for Pelican Bay community members, member organizations, neighborhood associations, and private event clients.
• Serve as the on-site point person for all administrative needs related to scheduled meetings and activities, including but not limited to attendee check-in, greeting, payment collection, and overall event support.
• Coordinate IT and audiovisual (AV) needs for meetings and events; troubleshoot basic technical issues as they arise and escalate to appropriate vendors or support staff when necessary.
• Support the full event lifecycle from setup through breakdown, including room configuration, signage, supply preparation, and post-event teardown as needed.
• Attend weekly, monthly, or seasonal staff meetings as requested by the Lifestyle Manager.

Skills & Experience

• 2–4 years of experience in lifestyle coordination, event planning, community programming, or a related hospitality or member-services role strongly preferred.
• Demonstrated ability to plan, promote, and execute a wide variety of events and programs from conception through completion, on time and within budget.
• Experience managing facility reservations, scheduling systems, and member correspondence.
• Proficiency with POS systems, event management platforms, and general office software (Microsoft Office Suite, Canva, or similar); experience with Northstar is a plus.
• Strong organizational skills with meticulous attention to detail and the ability to manage multiple concurrent priorities under deadline.
• Excellent written and verbal communication skills — able to compose clear, professional, and compelling correspondence and promotional materials.
• Demonstrated ability to work independently with minimal supervision while exercising sound, proactive judgment.
• Strong interpersonal skills with a natural ability to build relationships, engage diverse member populations, and deliver warm, personalized service.
• Ability to remain composed and solution-oriented in high-pressure or time-sensitive situations.
• Highly reliable with a consistent record of professional performance, attendance, and follow-through.
• Current CPR/AED certification (or ability to obtain), with knowledge of emergency and evacuation procedures.

Education

• Associate's or Bachelor's degree in Hospitality Management, Recreation Management, Communications, or a related field preferred.
• An equivalent combination of education, training, and experience will be considered.
