Annual Salary Range - $46,924 - $70,408 Closing Date: August 27, 2026, or sooner upon receipt of the first 50 application submissions received. Job Summary: Responsible for coordinating and actively staffing meetings of the Milwaukee County Board of Supervisors (County Board), its standing and special committees, and various ad hoc commissions, committees, councils, and task forces. Coordinators review legislation, create and post agendas, record appearances and actions of various committee meetings, and edit and engross final resolutions and ordinances. Job Responsibilities: Establish draft Notice of Meetings for standing committee Chairpersons. Compile legislative packets comprised of reports, resolutions, ordinances, fiscal notes, and supplemental documents using Legistar. Print and stamp original documents. Create green files notating all referral information (Section 1.09(b)(1), Milwaukee County Code of General Ordinances [the Code]). Monitor green file retention periods in compliance with Section 56.14(3) of the Code, and Section 16.61, Wisconsin State Statutes. Reserve and set up meeting rooms. Verify that file components meet established criteria and notate any deficiencies or special voting requirements in Legistar. Research and associate historical files that relate to new file submissions utilizing Legistar and OnBase. Monitor new and revised documents. Compile all files referred by the County Board Chairperson to create draft agendas. Upon standing committee Chairperson approval, finalize and publish all agendas in compliance with Section 56.27(2) of the Code and Section 19.84(3), Wisconsin State Statutes. Post agendas in Courthouse rotunda, forward to media contacts, and transmit using E-Notify. Call roll to establish quorum, read files into the record, and document commencement, recess, and adjournment times. Record in-person and virtual appearances, movers, motions, and votes using Live Manager, and notate requests for technical, fiscal, or legal information. Advise Chairpersons of parliamentary procedures, practices, Robert's Rules of Order (newly revised), and the rules of Chapter 1 of the Code. Deliver guidance regarding open meeting law requirements, and closed session procedures. Edit resolutions and ordinances submitted by County Supervisors and County departments and create short form resolutions to meet standard form requirements. Add final votes. Engross resolutions and ordinances with adopted amendments. Track all standing committee files that are advancing to the County Board; draft the County Board digest, add special voting requirements, and notate all files that could be moot. Create and print signature pages from Legistar for all adopted files and maintain a master list of files being transferred to the County Executive. Receive signed, unsigned, and vetoed files from the Office of the County Executive. Act as liaison to local, State, and Federal government officials, news media, and members of the public regarding matters pending before the County Board, and its standing and special committees, and various County ad hoc commissions, committees, and task forces. Assist with Budget-related responsibilities during the annual review process. Create meeting schedule, staff Budget meetings, register requests for Budget follow-up reports, track amendments, and monitor reports due back to standing committees. Send Microsoft Teams invites for virtual/hybrid meetings. Index audio recordings during meetings using MP3 player. Complete initial time stamping of individual files during meetings. Trim video, edit time stamps, finalize, and publish video using Media Manager. Enter data and maintain numerous databases used to track legislative file status, and final disposition. Conduct monthlyLegistar audits pertaining to all files submitted/vetted by standing committees and the County Board. Verify that Status, In Control, and Final Action fields in Legistar reflect the correct data. Utilize Legistar information to create the End of Term Report, required under Section 1.09(b)(5) of the Code. Review all submitted County Board citations for standard form, develop various citation templates, and file these public records. Provide input regarding content included in various cross-divisional resource guides and record and edit content for cross-divisional training videos. Other duties as assigned Current Resident of the United States An Associate Degree in Public Administration or related field. Two (2) or more years of experiencein a professional office setting as a Clerical/Administrative Assistant or related position. Intermediate knowledge of all related computer and software applications, such as word processing and spreadsheets.
