Executive Assistant – Direct Procurement Provide advanced tactical and strategic administrative support to multiple directors within HP’s Direct Procurement team based in Houston. The role manages calendars, schedules meetings, coordinates travel, prepares expense reports, and serves as a primary point of contact for stakeholders. Responsibilities Manage professional and personal scheduling for multiple executives, proactively anticipating calendar needs. Act as a gatekeeper for communications and coordinate complex meetings and conferences. Prepare detailed meeting agendas, briefing documents, and correspondence. Manage all aspects of executive travel, including international trips, visa applications, travel budgets, and last‑minute changes. Coordinate site visits, agenda planning, event logistics (venue, catering, A/V). Maintain confidentiality and professionalism with all materials. Drive operational efficiencies by creating repeatable processes and utilizing productivity tools such as Teams and Smartsheet. Create and maintain purchase orders and expense reports in accordance with HP procurement policies. Maintain updated organizational charts and distribution lists. Support onboarding of new employees or interns and other administrative tasks. Supervise entry‑level executive assistants or administrative support staff. Qualifications High School Diploma, GED, or equivalent; college degree preferred. 6–8 years of advanced general administrative experience, preferably supporting senior leaders. Experience with calendar management, event planning, travel coordination, expense reporting, and purchasing. Proficiency with Microsoft Teams, Office 365, and other productivity tools. Strong organizational, communication, and problem‑solving skills. Ability to work independently, maintain confidentiality, and exercise judgment in a fast‑paced environment. Pay & Benefits Pay range: $32 to $49 USD per hour (United States only).
