Position Summary: The administrative assistant supports managers and employees through a variety of tasks related to organization, data entry, scheduling, and communication. This administrative assistant is responsible for confidential and time sensitive material.

Core Competencies and Responsibilities:

• Answer and direct phone calls
• Organize and schedule meetings and appointments
• Produce and distribute correspondence memos, letters, faxes, forms, and emails
• Assist in data collection, data input and preparation of reports
• Provide general program information and referrals to prospective clients
• Provide general support to visitors and clients
• Receive and reconcile client payments
• Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
• Provide appointment reminders to clients
• Conducts Urine Analysis Administration
  • Prepare materials for drug testing and recording results
  • Observe and collect samples as needed
  • Prepare and package samples for shipping to lab
  • Print and distribute results to treatment team
• Other duties as assigned.

Minimum Qualifications:

· High school diploma of GED.

· Experience with and working knowledge of Excel, Word, and Data Base Management.

· Ability to work effectively as part of a team and communicate effectively with staff, clients, family members and the general community.

· Ability to maintain a CPR & First Aid Certification and an annual Tuberculosis test result.

· Ability to communicate effectively both verbally and in writing.

· Follows nondiscrimination laws in performance of duties.

· Good organizational skills; ability to prioritize workload and work independently.

· Must comply with drug-free workplace guidelines.

· Familiarity with recovery programs, 12-Step Programs, and other resources in San Mateo County & Bay Area preferred.
