OUR IDEAL CANDIDATE:
This role combines transaction coordination with executive support, managing the administrative, financial, and logistical details of real estate transactions from contract to close while directly supporting the CEO. The ideal candidate is highly organized, detail-oriented, and able to juggle competing priorities across property, financial, and executive functions.
Key Responsibilities
Serve as liaison between the CEO and tenants, lenders, and internal staff
Support real estate acquisitions from due diligence through closing
Track loans, leases, contingencies, and other important deadlines to ensure they are met
Assist with lease drafting and execution
Manage the CEO's calendar, priorities, and meeting scheduling
Screen phone calls, emails, and office visitors
Coordinate with escrow, title, and lenders; manage transaction documents for accuracy and completeness
Perform bookkeeping duties, including invoice processing and expense tracking
Process and verify wire transfers per established banking procedures
Maintain organized digital files for financial and property records
Qualifications
1–3 years in real estate transaction coordination, escrow, title, or a related administrative role
Strong knowledge of the real estate transaction process and contract documents
Excellent organization, time management, and attention to detail
Ability to manage multiple transactions and deadlines simultaneously
Strong written and verbal communication skills
