Position Summary
The Project Manager is responsible for planning, coordinating, executing, monitoring, and closing commercial fire-life safety construction projects for Intelligent Fire Systems & Solutions (IFSS). This role oversees assigned projects from pre-construction through project closeout and partners closely with internal leadership, field supervisors, estimators, procurement, safety/quality, subcontractors, vendors, clients, and other stakeholders to ensure projects are completed safely, on schedule, within budget, and in accordance with contract requirements, applicable codes, and company standards.
The Project Manager serves as a central point of contact for project communication, schedule and budget tracking, document control, RFIs, change orders, risk management, quality control, and project reporting. This position requires strong construction knowledge, accountability, organization, and the ability to drive projects forward while supporting IFSS’s commitment to quality, safety, and exceptional client experience.
Key Responsibilities and Objectives
- Manage assigned commercial construction projects from pre-construction through completion, ensuring quality, safety, timeline, and budget compliance.
- Review and help develop project scope, objectives, design documents, schedules, budgets, and project execution plans.
- Coordinate feasibility reviews, site analysis, permitting requirements, approvals, and pre-construction planning activities as needed.
- Develop, update, and manage detailed project schedules using Gantt, CPM, or other approved scheduling methods.
- Partner with estimating and procurement to support budgeting, cost tracking, material planning, subcontractor coordination, supplier coordination, and bidding processes.
- Lead project kickoff meetings, coordinate mobilization efforts, and ensure all project stakeholders understand scope, schedule, expectations, safety requirements, and deliverables.
- Maintain consistent project communication through daily logs, weekly progress meetings, weekly stakeholder reports, and regular updates to leadership.
- Monitor construction progress against schedule, budget, scope, and contract requirements; identify risks, delays, conflicts, and cost impacts early and escalate as appropriate.
- Coordinate with site supervisors and field teams regarding day-to-day project progress, manpower needs, site conditions, safety compliance, quality expectations, and client needs.
- Track, manage, and help resolve RFIs, submittals, change orders, punch lists, risk assessments, and project documentation in a timely and organized manner.
- Perform or coordinate quality control inspections at key project milestones to support workmanship, code compliance, and client satisfaction.
- Support site-specific safety management by promoting proper PPE use, OSHA/local compliance, toolbox talks, safety audits, and adherence to IFSS safety procedures.
- Coordinate project closeout, including final inspections, punch list completion, warranties, as-builts, O&M manuals, final reporting, lessons learned, and record retention.
Technical Skills
- Strong understanding of commercial construction project management, preferably within fire protection, fire alarm, life safety, MEP, specialty subcontracting, or related construction environments.
- Ability to read, interpret, and coordinate drawings, specifications, scopes of work, submittals, schedules, contracts, and project documentation.
- Working knowledge of scheduling methods, including Gantt charts, CPM schedules, milestone tracking, look-ahead planning, and project sequencing.
- Strong understanding of project financials, including budgets, cost tracking, forecasting, change orders, purchase planning, and basic estimating coordination.
- Knowledge of RFIs, submittals, procurement workflows, subcontractor coordination, material tracking, closeout documentation, and construction document control.
- Familiarity with OSHA requirements, jobsite safety practices, PPE requirements, and commercial construction safety standards.
- Proficiency with Microsoft Office, especially Outlook, Excel, and Word; experience with project management or field management software such as BuildOps, Procore, Microsoft Project, Bluebeam, or similar platforms preferred.
Soft Skills & Competencies
- Strong leadership, ownership, and follow-through with the ability to drive projects and hold stakeholders accountable.
- Excellent verbal and written communication skills with the ability to communicate clearly with clients, leadership, field teams, vendors, subcontractors, and internal departments.
- Highly organized, detail-oriented, and able to manage multiple projects, deadlines, priorities, and moving parts in a fast-paced construction environment.
- Strong problem-solving and decision-making skills with the ability to identify issues early and recommend practical solutions.
- Professional, reliable, and accountable, with strong judgment and a commitment to safety, quality, integrity, and client service.
- Collaborative team player with the ability to build productive working relationships across operations, field teams, clients, and vendors.
Qualifications
- Ability to successfully manage project scope, schedule, budget, communication, documentation, risk, and closeout responsibilities.
- Strong knowledge of commercial construction practices and the ability to coordinate with field supervision, subcontractors, vendors, and client representatives.
- Ability to travel to project sites throughout the Reno/Sparks area and other assigned locations as needed.
- Valid driver’s license and acceptable driving record required if operating a company or personal vehicle for business purposes.
- Must be able to meet company employment requirements, including any applicable background, drug testing, safety, or client-site access requirements.
Education & Experience

- Must be able to sit, stand, walk, bend, reach, and lift or carry up to 25 pounds as needed.
- Occasional overtime, early mornings, evenings, or after-hours communication may be required based on project needs.
